Administrative Office Manager - Law Office

Boutique law firm in historic Concord seeks an Administrative Office Manager. Office works exclusively within the nonprofit sector, offering a wide range legal services to clients from small, local organizations to those operating nationally and abroad. Hours/Schedule: Approximately 30 hours/week, flexible scheduling, but requires a standard schedule, i.e. M-F 9am - 3pm, or M-Th, 9am - 5pm.

Benefits: Company does not offer benefits for part-time positions.

Location Requirements: Hybrid with 3 days in Concord Office, TTh required and one additional day

Job Description: The ideal Assistant Manager will have law office experience and will be willing to multi-task while supporting the legal team in a highly professional law office, performing a variety of administrative and clerical tasks.

Responsibilities:
Support to the law firm’s attorneys including:

  • Managing attorney calendars and arranging/coordinating Zoom meetings
  • Copying, filing, scanning, proofreading, and mailing documents
  • Maintaining client electronic and paper files

Support to the office manager in daily office needs and general administrative activities, including:

  • Responding to firm phone calls, emails, and other communications
  • Handling, organizing, scanning incoming and outgoing mail
  • Processing accounts receivable
  • Ordering office supplies
  • Drafting fee agreements and client correspondence
  • Maintaining office and client files and databases
  • Coordinating staff meetings/gatherings
  • Some assistance with the firm’s website, social media, newsletter, and billing may be needed

Qualifications:

  • Technology savvy with full proficiency in Microsoft Word, Microsoft Outlook 365, Microsoft Teams, One Drive, Excel, Adobe Acrobat Pro, Zoom
  • Bachelor’s degree or equivalent
  • Ability to maintain strict confidentiality in firm and client matters
  • Strong organizational skills and ability to multi-task, prioritize, and meet deadlines
  • Excellent written and verbal communication skills
  • Prior experience in a law firm and/or experience with legal billing/bookkeeping, or Cosmolex, a plus

Pay: $35.00 - $40.00 per hour

Work Location: Hybrid remote in Concord, MA 01742
