Job Summary:
A Female Admin Officer will be responsible for the daily office procedures and should be able to ensure our administrative activities run smoothly on a daily and long-term basis. The Admin Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include organizing company records, managing office stock, preparing regular reports (e.g. petty cash) The ideal candidate also needs to have working knowledge of office equipment and office management tools (e.g MS Outlook, Word, Excel, PPT, CRM, Teams)
Key Responsibilities:
- · Greeting visitors, answering calls and routing callers to the appropriate party
- · Scheduling appointments and maintaining the company’s calendars
- · Creating and maintaining filing systems including confidential documents, both electronic and physical
- · Preparing communications such as memos, emails, invoices, reports and other correspondence
- · Distributing correspondence (e.g., letters, emails and packages) to the appropriate party
- · Maintaining and updating the company’s databases
- · Answering queries by employees and clients
- · Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
- · Managing agendas/travel arrangements/appointments etc. for the upper management
- · Organizing in-house and external events such as quotations, reservations and booking flights
- · Assisting the Sales team with quotations and entity registrations on portals
- · Tracking stocks of office supplies and place orders when necessary
- · Negotiating pricing with suppliers
- · Submitting timely reports and preparing presentations as assigned
- · Managing shipping and logistics both import and export
- · Handling the petty cash report
- · Performing other duties as assigned
Experience, Skills & Qualifications:
- ·Degree holder in administrative course or similar.
- Solid experience as Administrative Officer or similar role with minimum of 3 years of experience in the field.
- Proficiency with Microsoft office applications, and aptitude for learning new software and systems.
- Excellent written and verbal communication skills.
- Strong time-management and multitasking abilities.
- Strong organization skills with a problem-solving attitude.
- Ability to maintain confidentiality of company’s information.
- Desire to be proactive and create a positive experience for others.
- Contribute to team effort by accomplishing related results as needed.
- Fluent in English & Tagalog

Pay: From AED4,000.00 per month
