Job Summary
We are seeking a highly organized and professional Administrative Assistant to support executive leadership in the San Luis Rey Ranch Main Office. This role provides administrative support to the Chief Operating Officer and Chief Financial Officer and assists operational and financial teams as needed. The ideal candidate is detail-oriented, discreet, and comfortable handling confidential information while supporting multiple entities in a fast-paced environment.
Duties
- Provide administrative support to the Chief Operating Officer and Chief Financial Officer
- Coordinate and assist with executive administrative duties across multiple organizations and entities
- Support operations staff, including customer and vendor assistance
- Assist financial staff with accounts receivable and accounts payable tasks as needed
- Support grant-related processes, reporting requirements, and agency correspondence
- Oversee and manage permits for all entities to ensure compliance and timely renewals
- Prepare reports, presentations, and documentation for executives and the Board of Directors
- Maintain organized office and confidential files
- Operate standard office equipment
- Handle confidential correspondence and information with professionalism and discretion
Experience
- Proficiency with QuickBooks, Microsoft Outlook, Word, Excel, and PowerPoint
- Prior experience providing administrative support to executive leadership
- Strong written communication skills in English, including grammar, spelling, and proofreading
- Exceptional organizational and multitasking skills
- Ability to create reports, charts, and presentations
- Ability to collaborate effectively and support cross-training within the team
- Basic Spanish language skills preferred
- Associate’s degree from an accredited two-year college or technical school preferred
- Five or more years of related administrative or executive support experience may substitute for formal education
- Equivalent combination of education and experience will be considered
