An established specialty finance group in Midtown Manhattan — spanning direct funding and a convertible note investment operation — is seeking a sharp, reliable Administrative & Operations Assistant to support daily operations and the principal directly. This is a hands-on role for someone who can wear multiple hats: bookkeeping, recruiting support, HR coordination, investment operations, and general office management in a fast-moving environment.
Responsibilities
- Post and manage recruiting ads to attract independent sales reps (ISOs); track and organize incoming applicants
- Keep day-to-day operations running — calendar, correspondence, document organization, vendor and office coordination
- Maintain the books in QuickBooks: data entry, invoicing, expense tracking, reconciliations, and basic reporting
- Handle HR administration — onboarding paperwork, employee and contractor files, payroll coordination, and compliance documentation
- Support the convertible note investment business — organizing deal files and term sheets, tracking positions and deadlines, maintaining portfolio records, and coordinating documentation with counsel and transfer agents
- Provide direct support to the principal on ad hoc projects and follow-ups
Qualifications
- 2+ years in an administrative, bookkeeping, or office-management role
- Proficiency in QuickBooks (required) and Microsoft Office / Google Workspace
- Experience posting jobs and screening applicants a strong plus
- Familiarity with basic HR processes and discretion with confidential information
- Strong attention to detail and comfort handling financial and investment documentation; interest in finance or capital markets a plus
- Highly organized, proactive, and able to work independently
Pay: $55,000.00 - $80,000.00 per year
