Administrative Operations Coordinator

Von Barkee’s Dog Spa is seeking a highly organized, tech-savvy Administrative Operations Coordinator to support our management team across both salon locations.

This role is ideal for someone who enjoys structure, problem-solving, working with people, and helping a growing business run smoothly behind the scenes while staying connected to daily client experience. We are looking for someone dependable, proactive, detail-oriented, and collaborative who enjoys supporting a team that cares deeply about pets and their families.

This position works directly with leadership to help maintain organization, systems, inventory flow, communication consistency, and operational support across both locations.

Responsibilities

  • Inventory tracking and supply organization
  • Transporting supplies, paperwork, and operational materials between locations as needed
  • Supporting development and organization of internal forms, documents, and workflows
  • Booking software support and Google Docs coordination
  • Reception support approximately 2 days per week
  • Monitoring texts, emails, and front desk communication consistency
  • Supporting organization and restocking of retail areas
  • Administrative and technology troubleshooting support
  • Assisting management with projects and workflow improvements
  • Supporting consistency of operational processes and policies across locations
  • Helping maintain organized, professional workspaces through light cleaning and organization

This is a hands-on coordination role that helps keep both salons operating smoothly each day.

Minimum Qualifications

  • At least 2 years of experience in a veterinary, grooming, or boarding environment
  • Prior experience supporting office operations or management preferred
  • Experience using scheduling software, Google Docs, and digital systems
  • Experience managing or supporting inventory systems
  • Reliable transportation and ability to travel between both salon locations as needed during the workday

Preferred Experience

  • Office coordination or administrative operations support
  • Retail organization or inventory coordination
  • Supporting workflow consistency across teams or locations
  • Experience assisting with internal documentation or process organization

Physical Requirements

This role includes both administrative and active operational responsibilities. Candidates should be able to perform the following essential job functions:

  • Move between two salon locations during scheduled work hours as needed
  • Stand and walk for extended periods of time
  • Lift and carry supplies weighing up to approximately 40 pounds
  • Bend, reach, and climb step stools as needed for supply organization and inventory tasks
  • Work in a professional grooming environment with dogs present

Work Environment

This position involves time at both salon locations and includes a combination of administrative coordination, reception support, inventory movement, and operational assistance within an active pet grooming environment.

Pay: $18.00 - $20.00 per hour
