Administrative Operations & Security Coordinator

We are seeking a highly organized, detail-oriented professional to serve in a hybrid role as Administrative Operations & Security Coordinator in support of a Department of Defense (DoD) contracting environment. This position is responsible for ensuring smooth day-to-day office operations, providing executive administrative support, and assisting with the management of the company’s industrial security program in compliance with U.S. government regulations.


Duties & Responsibilities

Office Management

  • Oversee daily office operations to ensure efficiency and professionalism
  • Manage office supplies, equipment, and vendor relationships
  • Coordinate facility maintenance and workspace organization
  • Serve as the primary point of contact for internal office needs
  • Develop and maintain office procedures and policies

Administrative Support

  • Provide direct administrative support to leadership and program teams
  • Manage calendars, schedule meetings, and coordinate travel arrangements
  • Prepare reports, presentations, and correspondence
  • Maintain organized filing systems (physical and digital)
  • Assist with onboarding and offboarding processes for employees
  • Handle sensitive and confidential information with discretion

Assistant Facility Security Officer (AFSO) Duties

  • Support the Facility Security Officer (FSO) in administering the company’s security program in accordance with the National Industrial Security Program Operating Manual (NISPOM)
  • Assist with personnel security processes, including clearance tracking, visit requests, and onboarding cleared employees
  • Maintain accurate security records and databases (e.g., DISS/NBIS)
  • Coordinate security briefings, debriefings, and training for employees
  • Support compliance with DoD and government security requirements
  • Assist with document control and classified material handling procedures
  • Participate in security audits and inspections
  • Office-based with occasional interaction in secure environments
  • May require handling of classified materials in controlled settings

Required Qualifications

  • Active Secret clearance or ability to obtain and maintain one
  • 3+ years of experience in office administration or similar role
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to handle sensitive and classified information responsibly


Preferred Qualifications

  • Experience in a DoD contracting or government environment
  • Familiarity with NISPOM and industrial security practices
  • Experience supporting or serving in an AFSO or security-related role
  • Knowledge of DISS, NBIS, or similar security systems


Clearance Requirements

Some positions will require access to U.S. National Security information. Positions that require this access will be required to receive and maintain a U.S. government personnel security clearance (PCL). In order to qualify for this position, the candidate must be a US Citizen and either currently possess this National Security eligibility or be able to complete the investigation application process with a favorable determination and maintain that eligibility throughout their employment. The listed pay scale reflects the broad, minimum to maximum, pay scale for this position for the location for which it has been posted and is not a guarantee of compensation or salary. Other compensation considerations may include, but are not limited to, job responsibilities, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, or other applicable factors.

The pay range for this role is: $70,000-77,000 USD per year (San Diego, CA)
