Administrative Professional - Operations & Office Support - Remote

Position Overview

We are looking for a highly organized, dependable, and detail-oriented Administrative Assistant to join our growing remote operations team. This role supports administrative workflows and operational processes across teams serving the MENA region (UAE, Qatar, and Saudi Arabia).

Key Responsibilities

Data Management & Record Keeping

  • Maintain and update spreadsheets and internal databases (Google Sheets / Excel)
  • Review data for accuracy, completeness, and consistency
  • Standardize formats (names, contact details, regional tags, etc.)
  • Identify duplicates, errors, or missing information
  • Organize files using structured naming conventions
  • Maintain logs of updates and corrections
  • Support reporting through clean, reliable datasets

Task & Workflow Coordination

  • Review and categorize incoming administrative requests
  • Assign or route tasks to appropriate team members
  • Track task progress from start to completion
  • Follow up on delayed or incomplete tasks
  • Maintain clear documentation of task statuses
  • Communicate effectively when clarification is needed

Tracking, Logs & Reporting

  • Update operational trackers for completed, pending, and in-progress work
  • Log daily activities, issues, and updates
  • Prepare short progress summaries
  • Identify recurring issues or workflow gaps
  • Escalate inefficiencies when necessary
  • Support reporting with organized documentation

Scheduling & Coordination Support

  • Assist with team availability coordination
  • Update calendars based on instructions
  • Send reminders for deadlines and milestones
  • Track onboarding progress or checklist completion
  • Help ensure tasks and timelines stay on track

Quality Assurance & Documentation

  • Review work for accuracy and formatting consistency
  • Maintain organized folder structures
  • Ensure documents are easy to access and locate
  • Support updates to internal documentation and SOPs
  • Uphold documentation and process standards
