Administrative Project Coordinator - Construction

SUMMARY

We are seeking a highly qualified and detail-oriented Administrative Project Coordinator to support the planning, coordination, and execution of construction projects. This role will serve as a liaison between the office and field teams, ensuring projects are delivered on time, within budget, and in compliance with all regulations. The coordinator will manage schedules, documentation, vendor communications, and site coordination to keep all stakeholders informed and aligned. Preference will be given to residents of the Fort Worth or Tarrant County area.

RESPONSIBILITIES

  • Assist in planning and initiating project schedules and procedures, coordinating with project managers and supervisors.
  • Coordinate scheduling, pricing, and technical performance of projects, ensuring alignment with timelines and budgets.
  • Prepare, review, update, and file project documentation, including contracts, permits, technical reports, RFI, Submittals, Change Orders, and progress reports.
  • Communicate with stakeholders, contractors, subcontractors, and clients to provide updates, resolve issues, and ensure compliance.
  • Manage the flow of data between the team and stakeholders
  • Coordinate with site supervisors to ensure work is completed according to plans and specifications.
  • Assist in budget tracking, vendor payments, and assist the Controller in pay applications
  • Submit and obtain vendor quotes, and manage vendor paperwork
  • Assist in permit applications and follow through to ensure approvals
  • Schedule site walkthroughs, client meetings, and OAC for project team members
  • Monitor project progress, make adjustments as needed, and manage project close-out activities.
  • Maintain accurate records of project expenditures and assist with cost control measures
  • Take minutes at OAC meetings, client meetings, and produce meeting minutes
  • Use of technology and software, including Microsoft Office, Teams, ChatGPT, and Project Management Software

EDUCATION, QUALIFICATIONS, AND EXPERIENCE

  • Education: High school diploma or equivalent; construction management, civil engineering, or related field preferred
  • Experience: 4+ years of administrative construction support experience; construction project coordination experience
  • Skills:
  • Strong communication and organizational abilities
  • Proficiency in Microsoft Office and project management software
  • Understanding budgets and cost management
  • Document control, email management
  • Project closeout- ensuring that all relevant project documents are collected and organized
  • Must be familiar with working in underserved communities

Work Environment

This role requires daily on-site presence and the ability to work in a fast-paced, detail-oriented environment.

Compensation is based on contract specifications.
