Job Overview
We are seeking a dependable and detail-oriented Part-Time Administrative & Property Management Assistant to support our Office Manager and Property Manager. This role is designed to provide cross-training in multiple areas of office administration and commercial property management. The right candidate will become an important part of our internal support structure. This is an in-office position (not remote).

Responsibilities

Administrative Support

  • Maintain organized digital and physical property files
  • Assist with rent tracking and tenant correspondence
  • Data entry and document preparation
  • Assist with vendor invoice processing

Property Management Support

  • Coordinate vendor scheduling and maintenance requests
  • Track insurance certificates and compliance documentation
  • Assist with lease documentation and renewal preparation
  • Maintain organized tenant and unit file
  • Cross-train to provide backup support for apartment showings when the Property Manager is unavailable
  • Assist with scheduling and confirming residential unit showings
  • Maintain confidentiality of tenant and financial information

Office Operations

  • Answer phones and route calls professionally
  • Prepare basic reports and spreadsheets
  • Maintain confidentiality of financial and tenant information

Qualifications

  • High School diploma or equivalent required
  • Associate degree or relevant coursework preferred
  • 2+ years of administrative or office experience preferred
  • Strong organizational skills
  • High attention to detail
  • Professional written and verbal communication skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Comfortable learning property management or accounting software
  • Ability to maintain confidentiality
  • Reliable and consistent attendance
