Job Title: Administrative Secretary to General Counsel

Summary: The Administrative Secretary to the General Counsel reports to the General Counsel of the East Baton Rouge Parish School System. Requires the exercise of judgment in making decisions in accordance with policies and practices of the department and the ability to work directly with School Board Members, members of the school systems' administrative staff, as well as with the private and public sector. As the Administrative Secretary to the General Counsel, much of the work involves handling confidential materials, messages, and scheduling meetings and appointments, monitoring, preparing, and expediting all legal work for the General Counsel.
Essential Duties and Responsibilities:

Reports to and is directly responsible for legal secretarial and administrative support services for the General Counsel

Types all legal documents and correspondence for General Counsel and prepares correspondence and documents with envelopes for mailing and/or delivery

Handles telephone calls when General Counsel is unavailable and either takes messages or conducts client business authorized by General Counsel

Prepares all workers' compensation settlement documents for approval of General Counsel

Establishes and maintains a file tracking system, databases, records, and/or other documents

Interfaces with third party administrators and risk management staff, as needed

Files all correspondence, lawsuits, etc., for General Counsel, organizes and maintains client and other files in a thorough, organized manner, and closes out files and prepares closed files for storage; calendars and/or schedules deadlines, court appearances, depositions, conferences, meetings, etc. for all cases of General Counsel

Assists Assistant to the Superintendent, as time permits, when requested by Assistant or General Counsel

Coordinates with the Assistant to the Superintendent and other departments to complete assigned duties

Examines, verifies, and documents reports and verifies reports for completeness, propriety, and accuracy of computations, costs, etc.

Assists directly in a wide-range of administrative and operational functions.

Other duties as assigned that are related to the functions of the position.
Essential Functions/Qualifications/Requirements:
Education and Experience:
Training and five (5) years on the job experience as a legal secretary are preferred; however, successively responsible commensurate experience may be substituted and will be considered. Some paralegal experience is preferred.

Technological Abilities:
To perform this job successfully, an individual must be proficient in general use of a computer, the use of Email as a form of communication, and other job-specific equipment, software, and/or applications.
