Job Summary:

Administrative Specialist Receptionist handles higher level clerical support, scheduling and project-based tasks. This position will be cross trained for various Accounts Receivable and Billing functions. The position will sit at the front desk, answer and direct phone calls, and greet guests. The position reports to the Vice President, Finance and Administration.

Key Responsibilities

  • Communications: Answering phones, greeting visitors, and sorting incoming/outgoing mail and emails.
  • Document Management: Filing, scanning, and maintaining both physical and digital record systems.
  • Project Based Tasks : Hands-on assignments to research possible solutions to business related initiatives.
  • Administrative Support: Preparing reports, drafting memos, and assisting with other matters.

Required Skills and Qualifications

  • Communication: Strong verbal and written communication skills with a polite, professional demeanor
  • Organization & Multitasking: Ability to manage multiple projects and meet changing deadlines..
  • Tech Literacy: Proficiency with standard office software (e.g., Microsoft Office Suite, ERP, etc.) and office machines.
  • Problem Solving: Resourcefulness and adaptability in a fast-paced work environment.
  • Great enthusiasm for customer service.
  • Excellent attention to detail.
  • Team player with initiative, proactive attitude, strong work ethic.
  • Discretion when handling sensitive and confidential information.
  • Microsoft Office 365 experience.

  • Three plus years
