Job Summary


Paradise Valley Community College (PVCC) is seeking an Administrative Specialist Senior for the Physical Sciences Division. This full-time, on-campus role is ideal for a detail-oriented, self-directed professional who excels at building and maintaining high-functioning systems.

The successful candidate will ensure smooth day-to-day operations, maintain accurate records, and implement quality-controlled processes that enable the Division to operate efficiently. You will work closely with the Faculty Chair to deliver consistent, high-quality administrative support and take ownership of tasks from start to finish. This role is well suited for someone who is comfortable with the natural variability of an office environment and uses quieter periods productively. To best serve the students, division, and college, this position requires a physical presence on campus.

Essential Functions


40% Front Desk Presence & Daily Operations
  • Maintain a reliable, consistent on-campus presence during posted business hours.
  • Serve as the primary point of contact for students, employees, and visitors, addressing questions and directing complex issues.
  • Monitor, organize, and manage the office environment, resolving routine problems independently and keeping operations professional and functional without close supervision.
30% Administrative Coordination & Systems Support
  • Use college systems to support the Chair and Division in all administrative processes, demonstrating attention to detail and consistent follow-through.
  • Manage facilities requests, purchases, requisitions, and deliveries, tracking progress to completion and monitoring budgets with care and precision.
  • Maintain accurate academic and administrative records.
  • Develop internal quality control systems that ensure consistent high-quality work without external review.
  • Establish and evolve professional routines and practices that ensure Division needs are met reliably and consistently with minimal oversight.
20% Faculty & Student Support
  • Ensure faculty needs are met and classrooms and instructional spaces are prepared and functional.
  • Assist students with enrollment, scheduling, and campus resource navigation, directing inquiries appropriately and accurately.
  • Support the Chair in daily operational matters.

10% Other Duties as Assigned

Minimum Qualifications


Associate’s Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.


OR


An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

  • Two (2) or more years' experience in an advanced administrative position.
  • Office experience in a higher education or public institution.
  • Experience working with a diverse population.
  • One or more years’ experience with Google Suite and/or Microsoft Suite.
  • One or more years’ experience as a lead worker or overseeing a program.
  • One year of full-time relevant MCCCD experience during the previous two years.

Special Working Conditions

  • May require possession of a valid State of Arizona Class D Driver's License or other state license; employee must meet district minimum standards regarding driving:
