Administrative Specialist (Wealth Management)

Pinion Wealth
is looking for a Full-Time Administrative Specialist to join our team in Wichita, KS. The ideal candidate is efficient and comfortable with managing your own workload while working with multiple people. You are resourceful, possess excellent problem-solving skills, and have a genuine passion for organization. You understand that providing exceptional customer service is of utmost importance and you take great pride in the level of service you offer to our clients.

Responsibilities:
The Administrative Specialist should expect to:
  • Support wealth advisors and client service professionals with administrative tasks, such as answering phones, managing the share inbox, and scheduling support.
  • Maintain accurate client and account information by updating the CRM and other databases, and the filing system.
  • Assist with money movement processing, RMD tracking, commission invoice management, and related operational steps.
  • Request insurance illustrations and coordinate with carriers to obtain required documentation.
  • Prepare, bind, and organize reports and materials for client meetings and internal use.
  • Oversee annual review schedules and support ongoing client engagement activities.
  • Upload content to the firm website and manage routine document workflows.
  • Other administrative or firm tasks based upon interest and need.

Qualifications:
What You Bring to the Table
  • 1+ years of experience serving in an administrative support role (professional services environment preferred)
  • Comfortable navigating new technology tools and demonstrated proficiency in MS Windows, Adobe and Office suite. The role requires the ability to quickly grasp and become proficient in a variety of software applications relevant to the position.
  • Demonstrated time management skills, ability to prioritize, and adapt to change.
  • Excellent oral and written communication and organizational skills.
  • Desire to be a self-starter who will see opportunities to add value beyond an assignment and will run projects through to completion.
  • Critical thinking skills and ability to modify procedures or resources to fit the needs of the task or situation.
  • Willingness to perform under pressure when deadlines call for swift action.
  • Capable of learning and recalling important job functions and processes that may occur infrequently.
  • Ability to multi-task without sacrificing accuracy.
  • Collaborative and effective in working with different leadership styles and a variety of individuals at all levels within the organization.
  • Proven ability to maintain confidentiality.

Compensation:
In some states and municipalities, Pinion is required by law to include a reasonable estimate for range of compensation. When making compensation decisions, Pinion takes into account a variety of factors including but not limited to experience, skills, certifications/licenses, and geographic location. The wide range for this role reasonably accounts for these factors. Specific compensation decisions are made based on the facts and circumstances of each case. A reasonable estimate of the current range is $20-$23/hour.
