Duties

  • Maintain confidentiality and uphold professional standards at all times.
  • Develop, update, and manage monthly staff schedules.
  • Coordinate staff coverage and client schedules to support consistent care.
  • Ensure accuracy in billing codes and documentation for scheduled services.
  • Communicate promptly with staff and clients regarding schedule changes and updates.
  • Schedule and organize meetings and trainings.
  • Manage office supplies and general inventory.
  • Prepare and distribute data sheets and materials for staff and clients.
  • Enter and update insurance authorizations, billing codes, and related records.
  • Support recruitment, pre-employment, and onboarding processes.
  • Process and verify accurate bi-weekly payroll.
  • Maintain organized digital and physical records in compliance with company and HIPAA standards.

Qualifications

  • Required: High school diploma or equivalent
  • Preferred: Bachelor’s degree in Business Administration, Human Resources, or a related field
  • Minimum of one year of experience in Administrative or HR support (experience in ABA or healthcare settings a plus)
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word, SharePoint, Teams) and general computer literacy
  • Excellent written and verbal communication skills
  • Strong organizational and data entry skills
  • Resourceful and proactive problem-solving skills

Requirements

  • Proof of citizenship
  • Successful completion of an FBI/DOJ background check
  • Reliable access to email and text communication
