Seeking applicants to start in December 2025. Assist a licensed psychologist in organization and maintenance of a forensic and clinical psychology practice. The job will include general clerical duties, initial responses to prospective clients, maintenance of professional libraries. Various personal assistant duties are also required, as specified below. Some computer skills are required. The hours are flexible, although some afternoon hours are required, and employer has a policy of accommodating to academic scheduling issues whenever possible. Some flexibility is also expected from the assistant. A commitment of 10-15 hours per week is required and may vary, with the expectation of hours increasing after a training period. Seeking applicants with availability Tuesday and Thursday afternoons. Assistant will work at two job sites within 15 minutes' distance. Potential for some remote work. Successful applicant will have the opportunity to observe and assist in a child custody practice, and will have extensive access to a large electronic library of professional articles and opportunities for professional growth. This is a great opportunity for anyone looking to gain academic and professional development in the mental health field. A minimum commitment of one year is requested. Preference will be given to candidates who have independent transportation and reasonable commuting distance to West Los Angeles and Santa Monica. Initial salary will range from $20.00 to $24.00 per hour, commensurate with experience and with potential increases. Proof of vaccination in accordance with CDC recommendations required upon hire.

General Clerical Duties:

  • Answer telephone & check messages on office voicemail
  • Assist in maintaining the appointment calendar
  • Assist in billing preparation
  • Perform synchronizations of calendar and time-recording programs
  • Maintain client files as follows:
  • Set up files
  • Scan relevant documents
  • Upload and file
  • Prepare list of documents
  • Maintain file of current forms to send to prospective clients and/or attorneys
  • Update and maintain psychologist’s CV
  • Assist in closing of closed cases and storing archives
  • Assist in maintaining software documentation, serial numbers, contact info for tech support
  • Keep inventory of office supplies, order as needed
  • Pick up mail and packages at the office, as needed
  • Sort mail
  • Respond to prospective clients
  • Return calls to prospective clients, and attorneys’ inquiries regarding services and availability
  • Respond to emails regarding appointment setting and inquiries regarding services and availability
  • Maintenance of professional libraries: download and/or scan various journal articles and conference materials to library
  • Must have basic understanding of Microsoft Word and PowerPoint, including the ability to prepare presentation materials
  • Experience with Clio is a plus!

Desired Skills:

· Basic understanding of the workings of an office

· Some computer experience necessary

· Ability to work independently and be self-motivated

· Good communication skills very important as well as adaptability/willingness to learn

· Students in psychology-related areas may realize additional benefits through access to professional resources and experience in a working psychology/child custody practice. Personal Assistant Duties (on a daily to weekly basis):

  • Schedule & maintain personal appointment calendar
  • Supervise in-home maintenance workers as needed
  • Assisting in prep for travel
  • Running minor errands
  • Be able to climb stairs and lift 10lbs if need be

Salary range: $20.00 to $24.00 per hour, starting pay commensurate with experience and with potential increases.
