Position Overview
We are seeking a proactive, highly organized Administrative/Personal Assistant to provide direct support to our CEO. This is a fast-paced, dynamic role where projects and opportunities often move quickly. The ideal candidate is resourceful, adaptable, and thrives in an environment that requires initiative, discretion, and strong follow-through. This role demands someone who can manage multiple priorities while maintaining professionalism and precision.

Key Responsibilities

• Provide direct one-on-one administrative support to the CEO
• Manage incoming and outgoing calls; monitor and respond to emails
• Schedule and coordinate meetings with clients, partners, and team members
• Assist with day-to-day personal tasks and occasional local errands
• Prepare and distribute marketing materials
• Support the planning and coordination of CEU (Continuing Education Unit) presentations
• Assist with basic website updates and light design-related tasks
• Organize and maintain digital files, records, and documentation
• Collaborate with team members on office operations and project initiatives

Qualifications

• Strong verbal communication and interpersonal skills
• Highly organized, self-motivated, and detail-oriented
• Comfortable interacting with professionals across various industries
• Basic math proficiency
• Ability to work on-site at our Westfield, NJ office

Additional Information

• On-site position (not remote)
• Flexible schedule: 20–35 hours per week, with potential for full-time
• Compensation: $18–$19 per hour, based on experience
• Eligible for performance-based pay increases every six months
• Immediate start available
