Position Overview

We are seeking a proactive, highly organized Administrative / Personal Assistant to provide direct support to our CEO. This is a fast-paced, dynamic role where projects and opportunities move quickly. The ideal candidate is resourceful, adaptable, technologically capable, and thrives in an environment that requires initiative, discretion, and strong follow-through.

This role is ideal for someone who enjoys learning new software platforms, is comfortable working with AI-powered tools and modern technology, and can help streamline workflows and operations within a growing luxury brand.

Key Responsibilities

  • Provide direct one-on-one administrative support to the CEO
  • Manage incoming and outgoing calls; monitor and respond to emails
  • Schedule and coordinate meetings with clients, partners, and team members
  • Assist with day-to-day personal tasks and occasional local errands
  • Prepare and distribute marketing materials
  • Support the planning and coordination of CEU (Continuing Education Unit) presentations
  • Assist with website updates, digital content, and light design-related tasks
  • Organize and maintain digital files, records, and documentation
  • Assist with AI-driven workflows, CRM organization, and digital systems
  • Help improve operational efficiency using modern software and technology tools
  • Collaborate with team members on office operations, marketing initiatives, and special projects

Qualifications

  • Strong verbal communication and interpersonal skills
  • Highly organized, self-motivated, and detail-oriented
  • Comfortable interacting with professionals across various industries
  • Strong computer and technology skills
  • Comfortable learning and using AI tools, automation platforms, and modern software
  • Familiarity with platforms such as ChatGPT, Canva, CRM systems, social media tools, or project management software is a plus
  • Basic math proficiency
  • Ability to work on-site at our Westfield, NJ office

Additional Information

  • On-site position (not remote)
  • Flexible schedule: 20–35 hours per week, with potential for full-time
  • Compensation: $18–$19 per hour, based on experience
  • Eligible for performance-based pay increases every six months
