Administrative/Scheduling Assistant

We are seeking reliable and detail-oriented Administrative/Scheduling Assistants to join our team. The primary focus of this role is to connect with customers and schedule their upcoming service appointments. You will also be responsible for organizing and maintaining the daily schedule for all field employees and preparing the necessary paperwork for the next day's appointments.

The ideal candidate is self-motivated, dependable, and professional, capable of working independently with minimal supervision while contributing effectively as part of a team. Integrity, trustworthiness, and a strong commitment to ensuring smooth office operations are essential.

Schedule:

  • Monday through Friday, 8:30 a.m. – 4:30 p.m.
  • 30–40 hours per week
  • This is a non-smoking environment, including vaping.
  • All applicants must successfully pass a background check and drug screening.

Responsibilities:

  • Manage time efficiently to complete tasks accurately and on schedule, in compliance with company policies.
  • Communicate with customers to schedule service appointments.
  • Handle incoming phone calls and correspondence (email, mail, etc.).
  • Create and maintain accurate customer records and internal databases.
  • Prepare next-day paperwork for scheduled appointments.
  • Support colleagues and contribute to a positive work environment.

Skills and Qualifications:

  • Knowledge of the Flagler County area is required.
  • Minimum 2 years of office experience in an administrative or scheduling role.
  • Proven ability to manage high call volumes (inbound and outbound).
  • Excellent communication, organizational, and multitasking skills.
  • Strong attention to detail and ability to retain and apply information effectively.
  • Positive attitude and professionalism under pressure.
  • Proficiency in Microsoft Office; training provided for our internal software.
  • Familiarity with general office procedures and basic accounting principles.
  • High school diploma or equivalent required.
  • Previous experience handling office phone systems is a plus.
