Administrative/Tax Specialist

Job Overview
We are seeking a dynamic and detail-oriented Administrative/Tax Specialist to join our team! Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Oversee office management tasks such as filing, data entry, calendar management, and maintaining office supplies
  • Utilize QuickBooks for bookkeeping tasks including invoicing, expense tracking, and financial record reconciliation
  • Provide exceptional customer support by addressing inquiries promptly and courteously via phone or email
  • Assist with tax preparation activities by organizing documents, verifying data accuracy, and supporting tax filing processes
  • Maintain accurate records through proofreading documents and ensuring proper filing systems are in place
  • Support personal assistant duties such as scheduling appointments, managing calendars, and coordinating meetings

Qualifications

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in ProConnect, QuickBooks, Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Drive), and advanced computer literacy preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are a plus to assist diverse client needs
  • Experience with bookkeeping, data entry, proofing documents, AI, social media, marketing preferred
  • Strong phone etiquette skills along with experience handling multi-line phone systems and customer service interactions
  • Personal assistant or administrative experience supporting calendar management and scheduling is a plus
  • Demonstrated ability to work independently while collaborating within a team environment
