POSITION SUMMARY:

The Administrative / Ward Clerk supports the daily operations of the Long Term Care and Memory Care Unit at Southeast Colorado Hospital District by providing clerical, communication, and coordination support to nursing staff, residents, families, and the interdisciplinary team. This position serves as a central point of contact for the unit and contributes to a structured, compassionate, and resident-centered environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provides administrative and clerical support to nursing staff to ensure efficient unit operations and continuity of care.
  • Serves as the primary point of contact for incoming calls, visitors, and general inquiries, responding in a professional and courteous manner.
  • Greets residents, families, and visitors, promoting a welcoming, respectful, and supportive environment.
  • Maintains accurate and timely resident records in compliance with facility policies, regulatory standards, and documentation requirements.
  • Enters, updates, and verifies information within the electronic health record (EHR) system.
  • Strong ability to handle multiple tasks and manage all situations in a calm demeanor.
  • Assists with resident admissions, transfers, and discharges, ensuring all required documentation is complete and accurate.
  • Processes physician orders, laboratory requests, and diagnostic services promptly and accurately.
  • Coordinates communication between nursing staff, providers, therapy services, and ancillary departments.
  • Maintain unit specific documentation as requested, i.e., assignment sheets, temperature logs, etc.
  • Schedules appointments, services, and transportation as directed.
  • Monitors, orders, and maintains unit supplies to support daily operations.
  • Assists with audits, reports, and compliance documentation in accordance with long-term care regulations.
  • Participate in performance and support improvement and risk management activities.
  • Maintains organization and cleanliness of the nurses’ station and clerical work areas.
  • Demonstrates patience and effective communication techniques when interacting with residents experiencing cognitive impairment or behavioral challenges.
  • Maintains strict confidentiality of resident information in accordance with HIPAA and facility policies.
  • Performs other duties as assigned to support the mission and operations of the organization.

REQUIRED QUALIFICATIONS:

  • High School diploma or equivalent.

Preferred Qualifications:

  • CNA Certificate

KNOWLEDGE, SKILLS AND ABILITIES:

Must be able to work efficiently both independently and collaboratively with teams and leadership while demonstrating a high level of integrity, sound judgment, and attention to detail. This role requires professionalism in all interactions with employees, patients, and the public, along with the ability to maintain strict confidentiality and comply with all SECHD, state, and federal policies and regulations. Strong problem-solving, organizational, and time-management skills are essential, as is the ability to manage multiple priorities, adapt to change, and meet deadlines in a fast-paced environment. The candidate must communicate clearly and effectively, both verbally and in writing, and demonstrate strong interpersonal skills with a professional and compassionate demeanor. Computer proficiency and the ability to learn new software systems are required. Knowledge of applicable state and federal regulations is preferred. Dependability, initiative, and the ability to see tasks through to completion are critical, as is a commitment to safety, quality, and working under stressful conditions and/or irregular hours.
