Responsibilities:
We are now seeking a talented Administrator to join our award-winning team based in Dubai, UAE.

This critical role will be responsible for providing high-level administrative support to the Executive - Infrastructure Division.

We envisage success in this role to include:

  • Supporting on submissions, checking off documents against the documents register ahead of submission / transmittals, and returning the documents until properly updated and recorded by the technical team.
  • Establishing and maintaining record keeping and filing systems.
  • Receiving, filing, downloading and uploading all incoming and outcoming transmittals, information and correspondence for the projects, including to Client and Authority portals.
  • Supporting project administration including collection of meeting notes into minutes, inputs to project trackers, conducting research, updating databases, and preparing presentations.
  • Typing, formating, and producing documents such as proposals, presentations, correspondence, and standard project reports.
  • Filing and retrieving project documents, records and reports. Ensuring confidentiality and security of all project-related documentation.
  • Coordinating arrangements for internal meetings and incoming visitors.
  • Undertaking document functions internally in accordance with KEO procedures, such as contract signature procedures, purchase order procedures, invoice reporting procedures, and such.
  • Liaising with the wider business and client administrators to answers inquiries, researching and resolving problems requiring knowledge of department policies and procedures.
  • Maintaining calendars and contact database, scheduling appointments, completing travel or conference arrangements and may arrange meetings and conferences for the project.
  • Maintaining & curating the folders and archives for issued, sent, transmitted project information, correspondence and documents.
  • Collecting of receipts and expenses for Project Reimbursable Expenses.
  • Managing activities within own field of responsibility.
  • Performing other duties as assigned.
Qualifications:
To be successful in this dynamic opportunity, we envisage that you will bring a minimum of 3 + years' career experience coupled with proficiency in MS applications (Word, Excel, PowerPoint) Aconex knowledge is a plus, partnered with a Bachelor’s Degree or Diploma in Administration or equivalent.

Experience working within the Gulf Region is essential whilst a background in the engineering, architectural or construction industry would be viewed favorably.
