Administrator, Property Owners Association

Job Summary
We are seeking an experienced and dedicated Administrator to oversee the operations of a property Owners Association, ensuring smooth management and compliance with community standards. The Goldenwood West Property Owners Association Administrator serves as the main point of contact for all property owners, Board of Trustees, Architectural & Protective Committee, Welcoming Committee and all outside vendors. working closely with residents and board members to uphold the community’s standards and goals.

Duties

  • 12-18 hours per week
  • Oversee financial activities such as bookkeeping, billing and receipts, expense tracking, and financial reporting using QuickBooks online (QUICKBOOKS EXPERIENCE REQUIRED)
  • Work from home with visits to facility 2-3 times per week
  • Manage daily operations of the property Owners Association, including maintenance scheduling, vendor relations, and facility management.
  • Facilitate communication between residents, board members, and service providers to promote transparency and community engagement.
  • Act as Point of Contact regarding enforcement of community rules and regulations, addressing resident concerns and resolving disputes professionally.
  • Prepare meeting agendas, record minutes, and assist in organizing community events or meetings.
  • Coordinate staff or contractors involved in property maintenance or administrative functions.
  • Work from home while making regular rounds (3-4x per week) of the facilities for mail and facilities inspection
  • 1-2 evenings/ month required for board or committee meetings
  • Draft board meeting minutes, notices, and announcements
  • Maintaining records, updating manuals and SOP's, organizing files, and maintenance of gov. regulatory filings

Requirements

  • Knowledge/experience with of Quickbooks Online required
  • Highly detail oriented, methodical, and organized
  • Excellent and diplomatic email and communication skills for effective interaction with residents, staff, and board members.
  • Ability to handle complex situations with professionalism and compassion.
  • Intermediate computer skills (Outlook, Word, Excel, Adobe Acrobat, and Asana)
  • local resident preferred, within 2-5 mile radius

Pay: $23.00 - $25.00 per hour

Expected hours: 15.0 – 20.0 per week

Experience:

  • QuickBooks: 2 years (Required)
  • Office management: 1 year (Preferred)

Location:

  • Austin, TX 78737 (Preferred)
