Position Overview
Foundation House is looking for a highly organized and detail-oriented Admissions Coordinator to join our team. In this role, you will manage the admissions process for new clients and ensure accurate record-keeping. Your work will be essential to the smooth operation of our treatment program.
Responsibilities
- Manage the admissions process for new clients, including conducting initial screenings and assessments, running insurance verification of benefits, gathering necessary documentation, and coordinating with referral sources.
- Ensure timely and accurate completion of all required intake forms and paperwork.
- Schedule, organize, and conduct intake appointments, assessments, and orientations for new clients, ensuring a smooth transition into the program.
- Collaborate with clinical staff to facilitate appropriate client placements based on program availability and client needs, ensuring alignment with Foundation House's treatment philosophy.
- Maintain accurate and confidential client records, ensuring compliance with privacy laws and regulations (e.g., HIPAA).
- Enter and update client information in the electronic medical record (EMR) system, ensuring data integrity and consistency.
- Respond to all incoming admissions calls and email inquiries promptly, ensuring timely follow-up and accurate information is provided.
- Answer incoming calls from insurance companies seeking placement for policyholders in our Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP), or return all inquiries within one business day.
- Serve as a liaison between the admissions team, clinical staff, and external agencies, fostering effective communication and coordination.
- Provide support and guidance to clients and their families throughout the admissions process, addressing inquiries and concerns professionally and empathetically.
- Work as a liaison to the billing company to accurately report billable hours to maximize revenue and compliance.
- Take the initiative to develop solutions to gaps in workflow and processes.
Qualifications
- Bachelor’s Degree in related field preferred.
- 2+ years of related work experience in a substance abuse/mental health setting preferred.
- Proven ability to work in team-oriented environment.
- Energetic and able to galvanize residents to take full advantage of Foundation House offerings.
- Able to lead by example and participate in the clients’ journey.
- Possess knowledge of current recovery industry trends and residential treatment methodologies.
- Detail oriented, with strong verbal and written communication skills.
- Valid driver’s license and transportation.
