Capital School Bahrain is seeking a proactive and detail-oriented Admissions Officer to manage and support the full admissions process. The ideal candidate will ensure timely communication with prospective families, maintain accurate records, and contribute to achieving enrolment targets.
Key Responsibilities:
Admissions
- Respond promptly to initial applications submitted through the Admissions Portal, ensuring acknowledgement within one working day.
- Monitor and follow up admissions applications to guarantee timely processing and effective communication with parents.
- Liaise with parents to obtain any pending documents and ensure all required paperwork — including the declaration, school policies, and fees acknowledgement — is duly completed and signed.
- Answer telephone calls and email enquiries relating to the admissions process and procedures. All emails must be acknowledged or responded to within one working day.
- Provide accurate information, address queries, and manage complaints from parents and others regarding admissions policy.
- Draft and issue correspondence to parents as required.
- Carry out administrative tasks associated with admitting pupils to Capital School, including receiving and verifying information, maintaining databases, and updating records.
- Maintain accurate records in iSAMS in a timely manner, updating each file following any changes.
- Ensure all pupil documents are properly filed and uploaded to iSAMS.
- Arrange assessments for new pupils and issue offer letters within 24 hours of assessment completion.
- Prepare pupil movement class lists at the end of each academic year.
- Compile subject-specific pupil lists for Arabic, Islamic, Social Studies, and French/Spanish according to nationality.
- Communicate with parents regarding any issues related to payments or concerns between parents and teachers.
- Conduct school tours for prospective parents and pupils as part of the admissions process.
- Support enrolment targets by working to ensure maximum pupil intake each year.
- Follow up with parents and prospective families regarding Open House enquiries, ensuring timely responses and continued engagement.
- Support the follow-up process with parents concerning pupil attendance, ensuring any issues are dealt with promptly and appropriately.
Pupil Withdrawal Process
- Check the exit procedure policy and ensure the parent has submitted the request within the required notice period.
- Check the fee status with the Accounts team to confirm all outstanding payments have been settled.
- Complete the leaver form promptly.
- Prepare leaving and transfer certificates for pupils within three working days of receiving the request.
Preferred Skills & Qualifications
- High level of punctuality, professionalism, and reliability.
- Excellent organisational and administrative abilities.
- Strong communication skills in English and Arabic (written and spoken).
- Knowledge of Bahrain Ministry of Education regulations and related documentation.
- Working knowledge of Bahrain government departments and their procedures.
- Experience with school systems (e.g., iSAMS) is an advantage.
