Job Overview
We are seeking a highly organized and proactive Adult Family Manager / Office Manager to oversee daily operations and administrative functions within a dynamic family environment. This role requires a versatile professional capable of managing schedules, coordinating events, supervising staff, and ensuring smooth office and household management. The ideal candidate will possess strong communication, organizational, and leadership skills to support both personal and administrative needs effectively.
Responsibilities
- Manage and coordinate household schedules, appointments, and events, including planning and execution of family activities.
- Supervise household staff and vendors, ensuring tasks are completed efficiently and to high standards.
- Oversee office operations, including clerical duties such as filing, record keeping, and managing multi-line phone systems.
- Handle bookkeeping, bookkeeping tasks using QuickBooks, payroll processing, budgeting, and financial record management.
- Maintain vendor relationships for household supplies, maintenance services, and other service providers.
- Manage human resources functions such as training & development of staff, performance evaluations, and team management.
- Oversee medical office management tasks related to healthcare appointments or medical records if applicable.
- Coordinate front desk activities with excellent phone etiquette and customer service skills.
- Ensure organization of calendars for family members and manage scheduling conflicts efficiently.
- Assist with event planning for family gatherings or community engagements.
- Support administrative tasks related to office management including filing systems, document preparation, and general clerical support.
Qualifications
- Proven experience in office management, administrative support, or related roles within a professional or household setting.
- Supervising experience with team management capabilities.
- Proficiency in QuickBooks, calendar management software, and multi-line phone systems.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills with professional phone etiquette.
- Experience in event planning, vendor management, budgeting, bookkeeping, payroll processing, and human resources is highly desirable.
- Background in medical office management or healthcare administration is a plus.
- Demonstrated ability to handle confidential information discreetly and professionally.
- Prior experience in clerical or administrative roles with a focus on office experience is preferred.
