Job Summary

The Advancement and Recruitment Specialist supports the enrollment efforts of an institution or department by providing admissions information to prospective or newly admitted students, creating communication materials, and by representing the institution at onsite locations such as high schools and community colleges. Provides guidance throughout the admissions process.


Nature of Work

This non-classified position reports to the Community Outreach and Campus Director and is responsible for planning and participating in meaningful recruitment events and activities with the goal of connecting with prospective students. This position has college-wide responsibilities to provide potential students with information regarding admission requirements, the steps to enrollment and assessing educational needs while promoting the benefits and objectives of the programs offered by the college.

Duties and Responsibilities:

  • Plans, schedules and participates in relevant recruitment events working with the Office of Institutional Advancement.
  • Documents and schedules communication and activities with prospective student
  • Works as a team player in order to meet the goals of the New River Community and Technical College.
  • Supports the College’s plan for community involvement and public engagement.
  • Identifies, prioritizes and plans community outreach activities in coordination with community events within New River CTC's service region.
  • Gives large and small group presentations while speaking informatively and enthusiastically on behalf of the college, its academic programs, and student services.
  • Develops and implements activities to bring community members to New River CTC's campuses and locations and assists with tours.
  • Serves as a point of contact for schools (K-12) for presentations in and representation of New River CTC.
  • Develops methods (strategies, activities, and programs) to increase and strengthen business and industry partnerships within the College's service region.
  • Responsible for budget management and reporting on event/outreach activities.
  • Analyzes, evaluates and works with Communications to create effective materials for recruiting.
  • Responsible for maximizing student enrollment and assisting with reaching the overall targeted student enrollment goal. Recruit prospective traditional and non-traditional students while providing information regarding admission requirements, the steps to enrollment and assessing their educational needs.
  • In collaboration with the Campus Directors, coordinate and oversee group campus visits and assist campuses in conducting individual tours for prospective students and parents as needed.
  • Responsible for the development and execution of a territory management plan.
  • Identifies new target markets while creating and implementing new recruitment strategies.
  • Responsible for scheduling, planning, organizing and attending activities that are directly related to the recruitment of students (lead generation). This includes high school activities, college fairs, Career and Technical Centers, Workforce WV centers, civic/community organizations.
  • Responsible for sourcing leads from various resources: ACT score reports, local Chamber of Commerce’s, job boards, community programs, referrals, current students, organizations and other innovative avenues.
  • Assists the Executive Director with updating the Annual Recruitment Plan and responsible for executing the plan.
  • Conduct ongoing follow-up communication with inquiries to include written communication, phone calls, e-mails and mailings to determine their level of interest, educational needs, and addressing any questions in a timely manner
  • Assist with the college orientation program, open houses and other college recruiting events.
  • Responsible for table, display, or booth set-up and disassembly at events and/or functions.
  • Manage and track the number of lead contacts from events and track number of participants through the college inquiry system.
  • Assist the Office of Admissions during peak enrollment periods and develop a basic understanding of other Student Service departments and their departmental functions.
  • Maintain an inventory of recruitment fact sheets, publications, materials and recruitment supplies for recruiting events.
  • Serve as liaison between college administration, academic departments, media personnel and the public-at-large regarding college activities and events.
  • Other duties as assigned
  • TRAVEL is required on a regular and recurring basis for community outreach events, conferences, travel between campuses, and other College related matters.


Professional Development

  • Compliance training is to be completed routinely and timely.
  • Participate in additional professional development opportunities through LinkedIn Learning and professional organization affiliations.

Skills, Knowledge and Abilities:

  • Excellent communication skills (oral and written). Must be able to speak to large audiences.
  • Knowledge and ability to develop a territory management plan and to locate destinations
  • Capability to achieve goals and objectives
  • Knowledge of how to assist with updating a recruitment plan and how to execute the plan
  • Ability to work with a variety of audiences including prospective students (traditional & non- traditional), parents, faculty, staff, and outside contacts
  • Must be able to develop and coordinate events and tours (including agendas, tours schedules for multiple groups, speakers, etc.)
  • Must have the maturity and adaptability to be team oriented and yet be able to work independently
  • Organized and detail oriented
  • Exceptional time management skills
  • Excellent typing and strong computer skills, (Microsoft Word, Excel, Power Point and Outlook Express)
  • Must be personable and outgoing
  • Accuracy and timeliness and the highest degree of professionalism
  • Ability to manage multiple projects with tight deadlines
  • One-on-one communication with constituents (vendors, internal and external) including negotiation of contracts
  • Strong record-keeping, and organization skills
  • Ability to establish and maintain effective working relationships
  • Ability to advocate and represent the College locally and on a state and national level.


Education

Bachelor's Degree - Related Field - Required


Experience

In addition to the knowledge/education, the following related work experience is typically required, for this position. An equivalent combination of education and recent, related experience may be acceptable.


Recruitment, Sales, Marketing - Working as a college recruiter, outside sales, sales management, public relations, marketing, community engagement, philanthropy, fundraising, customer service representative, or experience working with the public in a related field. - Required 1 year +.
