About the Role

Summit Sotheby’s International Realty is seeking a highly organized and detail-oriented Advertising Project Manager to join our in-house marketing team. This role manages both advisor-requested marketing projects and advertising placements across print, digital and social media. The ideal candidate thrives in a deadline-driven environment, is skilled in cross-functional coordination, and has experience trafficking creative content to media outlets.


Key Responsibilities

  • Manage day-to-day marketing project intake from agents across all offices, clearly defining deliverables, setting timelines and assigning tasks to creative team members.
  • Oversee advertising campaign coordination from start to finish, including scheduling, proofing and submitting ads to a wide range of local, national and international media outlets.
  • Maintain and track advertising deadlines, publication calendars and run dates to ensure timely delivery of creative assets.
  • Serve as the central point of contact between real estate advisors, the marketing team and media partners, ensuring smooth communication and alignment.
  • Review all marketing and ad content for accuracy, brand consistency and proper formatting before delivery.
  • Monitor team bandwidth, adjust assignments and prioritize projects to ensure efficient workflow across varying volume levels.
  • Provide clear project updates to stakeholders, flag issues proactively and ensure accountability throughout each stage of production.
  • Help refine and document workflows, approval steps and best practices to improve speed, quality and team collaboration.
  • Support cross-functional marketing efforts, including digital campaigns, property promotions and social content, when needed.

What You Bring

  • 3+ years of experience in marketing project management, media coordination or ad trafficking; in-house creative team or agency experience strongly preferred.
  • Working knowledge of advertising specs, formats and submission processes for both print and digital platforms.
  • Exceptional attention to detail and strong proofing skills.
  • Excellent organizational, time management and communication abilities.
  • Proficiency with project management tools (e.g., Help Scout, Trello, Airtable, Asana or similar).
  • Experience in real estate, luxury branding or client service-based industries is a plus.
