What We Are Looking For:
SHA is seeking a detail-oriented and adaptable Agency Assistant to provide administrative and operational support across multiple departments. This position supports senior leadership, including the Director of Construction & Capital Improvements, COO/Deputy Director, and Director of Asset Management, while also providing on-demand assistance to property management teams. The ideal candidate is organized, professional, and capable of handling multiple priorities in a fast-paced environment while maintaining accuracy, confidentiality, and excellent customer service.
In this Role, You Will:
- Provide comprehensive administrative and clerical support to senior leadership, including preparing reports, presentations, schedules, and correspondence.
- Organize and maintain files, records, and documentation to ensure accuracy and compliance with agency policies and procedures.
- Assist with project coordination by tracking deadlines, preparing meeting materials, and facilitating communication among internal staff, contractors, vendors, and external stakeholders.
- Provide data entry, reporting, and record-keeping support for property management, construction projects, and agency initiatives.
- Offer temporary administrative support to property management teams during high-volume periods, absences, or special projects.
- Assist with leasing files, tenant communication, and resident service coordination.
- Support document preparation, filing, and office coverage at property sites.
- Perform receptionist duties including answering phones, greeting visitors, and responding to inquiries.
- Coordinate schedules, meetings, and training sessions as needed.
- Perform other duties as assigned to support organizational operations.
What You Need:
- High school diploma or GED required; some college coursework preferred.
- Previous administrative or clerical experience with public contact.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and time management skills; ability to balance multiple priorities.
- Excellent written and verbal communication skills and attention to detail.
- Ability to handle confidential information with discretion and professionalism.
- Valid Florida driver’s license, insurable under SHA’s fleet policy, and ability to pass a pre-employment screening.
- Experience supporting multiple departments or senior leadership preferred.
- Knowledge of affordable housing, property management, or Public Housing Agency (PHA) operations a plus.
