Agency Receptionist-Berea, OH (Part-Time)

OhioGuidestone is seeking a full-time/part-time, receptionist to support our Agency. The receptionist is responsible for answering phone calls, processing incoming/ outgoing mail for the Agency and providing general administrative support. They direct calls to the appropriate individuals and ensure a positive and professional experience. The receptionist must possess excellent communication and interpersonal skills, have strong organizational abilities, and be proficient in handling basic office equipment and software. Essential Functions:
  • Answering calls received to the Agency and directing calls in an efficient, courteous, and helpful manner.
  • Maintaining an online reference of all Agency locations and associated programs with key personnel and phone numbers where they can be reached.
  • Maintaining an online reference of all Agency fax numbers and their locations.
  • Assisting with sorting, posting, and delivering of agency mail and packages within the building.
  • Preparing and mailing correspondence as needed for the department.
  • Maintaining and providing necessary service for the operation of the postage meter and other office equipment.
  • Maintaining inventory of needed office or kitchen supplies.
  • Greeting all guests/visitors, including having them sign-in, issue visitor passes and wait in the reception area until they can be taken to their destination.
  • Keeping Agency informational flyers, client rights documentation, applications for employment, and other printed materials stocked and available in the reception area.
  • Maintaining regular and reliable attendance.
  • Exhibits positivity, flexibility, and a willingness to take on new responsibilities as requested or required.
  • Demonstrates positive leadership, promotes a team-based work environment and presents the Agency in the most positive light with all internal and external contacts.

Performance/Physical Requirements:

  • Work is primarily performed at a desk. At times the work may involve prolonged periods of photocopying when necessary
  • Some physical activity is required to process mail, store office supplies, etc. Lifting over 30 lbs. is not required.
  • Exceptional customer service and phone skills needed.
  • Attention to detail and confidentiality are required.
  • English reading and writing skills are required.
  • Must be capable of providing customer service in a professional and courteous fashion.
Qualifications:
  • A high school diploma or equivalent required.
  • Computer literacy and excellent oral communications is essential.
  • Ability to operate a variety of office equipment.
  • Ability to pass a drug screening.
  • Must have a valid Ohio Driver’s License with a safe driving record and valid insurance.
