The Agent Services & Office Coordinator is responsible for creating a welcoming, polished, and organized environment while supporting our agents and leadership team with essential daily operations. The role combines hospitality and client care with organizational coordination and proficiency in spreadsheets and computer systems — ideal for someone who takes pride in details, thrives in a fast-paced environment, and loves being the go-to person who keeps everything running smoothly.
Key Responsibilities
Office Operations & Environment
- Open and prepare the office each morning to ensure it’s tidy and inviting
- Communicate with building management to troubleshoot issues and coordinate maintenance
- Manage printer and other facilities maintenance contracts
- Office and lunchroom supply management for two branches
Hospitality & Team Support
- Greet everyone with a positive and cheerful attitude
- Welcome new recruits and provide them with their welcome package
- Assist new recruits with printer and tech set-up
- Coordinate and prepare the office space for meetings, trainings, and special events (some events are outside of normal business hours)
- Schedule and coordinate lunch sponsors for office meetings
- Assist with special event planning and logistics, such as scheduling and RSVP process
- Spearhead holiday decorations for the office and company events
Mail & Financial Handling
- Receive mail and packages and distribute to agents
- Receive and log incoming checks
Administration & Reporting
- Maintain procedures documentation for all recurring events
- Regularly update weekly and monthly reports for Management
- Assist with transaction tracking and reporting for bi-weekly presentations

Qualifications:
- High school diploma or equivalent
- 2 years of administrative experience preferred
- Professional appearance and demeanor
- Proficiency with computers and basic office software
- Familiarity with social media platforms
- Familiarity with Canva

Pay: $19.00 - $21.00 per hour
