AI-Enabled Executive Assistant

New York, NY / Hybrid

Salary Range: $95,000 - $100,000

The American Arbitration Association is seeking an AI-Enabled Executive Assistant to serve as a trusted partner to the Executive Vice President, Chief Technology & Innovation Officer. This role provides high-level executive, operational, communication, and knowledge-management support to help maximize executive productivity and strengthen the effectiveness of the Information Services, Innovation & Data organization.

This is not a traditional executive assistant role. In addition to providing core executive support, this position will use AI-enabled tools, automation, and modern productivity practices to streamline administrative work, improve workflows, organize information, and support executive communications and decision-making.

What You'll Do

  • Manage the CTIO's calendar, travel, expense reporting, correspondence, meeting preparation, and related executive support activities.
  • Anticipate priorities, deadlines, commitments, and issues to ensure the CTIO is informed, prepared, and focused on high-value work.
  • Coordinate leadership meetings, including agendas, materials, action items, follow-up, and stakeholder communications.
  • Serve as a liaison between the CTIO's office, ISID leadership, business stakeholders, vendors, and external partners.
  • Prepare executive-ready presentations, briefing materials, reports, talking points, organizational updates, and meeting content.
  • Conduct research and synthesize information into concise summaries, recommendations, and decision-support materials.
  • Use AI-enabled tools and productivity technologies to improve executive effectiveness, reduce manual effort, and streamline administrative processes.
  • Develop and maintain AI-assisted workflows, templates, prompts, and productivity resources supporting executive and departmental operations.
  • Support ISID procurement, invoice processing, vendor administration, budgeting, operational reporting, and key initiative tracking.
  • Organize and maintain executive materials, presentations, policies, procedures, vendor information, operational documentation, and other knowledge assets.
  • Help improve the accessibility, accuracy, and usability of ISID information so it can be effectively used by employees and AI-enabled tools.
  • Handle confidential, sensitive, and high-priority matters with professionalism, discretion, and sound judgment.

What We're Looking For

  • Bachelor's degree in Business Administration, Communications, Information Systems, Operations Management, or a related field, plus 4-6 years of progressively responsible experience supporting senior executives; or an equivalent combination of education, training, and experience.
  • Experience using AI-enabled productivity tools, such as Microsoft Copilot, ChatGPT, Claude, Gemini, or similar technologies, to improve productivity, communications, research, and content development.
  • Strong proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Exceptional organizational, planning, communication, and time-management skills.
  • Ability to prepare polished executive-level communications, presentations, summaries, and reports.
  • Strong judgment, discretion, and professionalism in handling confidential and sensitive information.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Understanding of knowledge management, content organization, workflow automation, or business process improvement practices preferred.
  • Experience supporting a senior technology, innovation, data, operations, or business executive preferred.
  • Comfort learning and adapting to emerging technologies and evolving business needs.
