They combine practical legal experience with strong interpersonal skills and a service-oriented mindset.

Job Responsibilities

Position Summary

The Practice Group Support Specialist serves as an embedded operational and technology resource within assigned Practice Groups (PGs), helping attorneys and legal professionals optimize workflows, adopt AI-enabled tools, and improve day-to-day execution of legal work. This role bridges legal practice knowledge with technology enablement, process improvement, and user support.

Unlike a traditional trainer, this position requires practical legal operations experience and credibility within a law firm environment. The ideal candidate will have a background as a paralegal, legal operations specialist, litigation support professional, or similar legal support role, combined with strong aptitude for emerging legal technology and AI platforms such as Claude and other generative AI tools.

This individual will work closely with attorneys, practice leadership, IT, KM, and innovation teams to identify opportunities for improved efficiency, support adoption of legal technology solutions, standardize workflows, and provide hands-on enablement tailored to the needs of each Practice Group.

Key Responsibilities

AI & Legal Technology Enablement

  • Champion the responsible use of AI tools, including Claude and other approved generative AI platforms, within legal workflows.
  • Help attorneys and staff identify appropriate use cases for AI in drafting, summarization, research preparation, matter organization, knowledge retrieval, and administrative efficiency.
  • Develop practical prompting strategies, templates, and best practices tailored to legal work.
  • Support evaluation and rollout of new legal technology solutions and AI-enabled tools.
  • Assist users in troubleshooting workflow and adoption challenges.

Embedded Practice Group Support

  • Serve as the primary operational and technology support resource for assigned Practice Groups.
  • Build strong working relationships with attorneys, paralegals, and administrative staff to understand practice-specific workflows and pain points.
  • Observe legal work processes and recommend improvements that enhance efficiency, consistency, and quality.
  • Provide high-touch, day-to-day support for legal technology adoption and workflow optimization.

Training & User Enablement

  • Deliver informal and structured training sessions focused on practical application of tools and workflows.
  • Create user guides, quick-reference materials, process documentation, and best-practice resources.
  • Provide individualized coaching and “at-the-desk” support for attorneys and legal staff.
  • Reinforce change management initiatives through continuous engagement and follow-up.

Process Improvement & Operational Support

  • Identify opportunities to standardize legal workflows and improve operational consistency across Practice Groups.
  • Assist in documenting and refining procedures related to matter management, document workflows, collaboration tools, and AI utilization.
  • Partner with Innovation, Knowledge Management, IT, and Practice Group leadership on operational initiatives.
  • Gather user feedback and communicate enhancement opportunities to internal stakeholders.

Compliance & Risk Awareness

  • Promote responsible and compliant use of AI and legal technologies in accordance with firm policies and client confidentiality requirements.
  • Support adherence to information governance, data security, and ethical guidelines related to AI-enabled legal work.

Qualifications

Required

  • Bachelor’s degree or equivalent professional experience.
  • 3–7 years of experience in a law firm or legal services environment.
  • Prior experience as a paralegal, legal operations specialist, litigation support analyst, legal assistant, or similar legal support role.
  • Working knowledge of legal workflows, attorney support needs, and law firm operations.
  • Experience supporting or training users on technology platforms and workflows.
  • Experience working with generative AI platforms such as Claude, ChatGPT, or legal AI applications.
  • Familiarity with document management systems, legal research tools, collaboration platforms, and workflow technologies.
  • Excellent communication and relationship-building skills.
  • Ability to translate technical concepts into practical, user-friendly guidance.
  • Strong organizational skills and attention to detail.

Preferred

  • Strong interest in legal technology, and process optimization.
  • Experience in legal innovation, knowledge management, legal operations, or practice support functions.
  • Familiarity with legal research tools
  • Change management or process improvement experience.
  • Experience supporting multiple practice groups or business units.
