AI Workflow & Automation (Make.com Specialist)

We are seeking a visionary leader to drive our internal digital transformation by integrating AI tools and automating core workflows using Make.com (formerly Integromat) as the central orchestration platform.

The Role

As the AI Workflow & Automation, you will be the strategic and technical force behind the transformation of our internal operations, from creative production and media buying to administrative tasks. You will be responsible for identifying, scoping, building, and deploying AI-powered integrations and automated workflows. The primary measure of success will be a quantifiable increase in efficiency, speed, and accuracy across the agency, freeing our teams to focus on high-value, strategic work.

Key Responsibilities

1. Strategy & Transformation Leadership

• Develop and Execute: Create a comprehensive roadmap for agency-wide AI and automation adoption, with a focus on maximizing ROI and reducing manual effort.
• Workflow Audits: Conduct detailed audits of current, human-intensive processes (e.g., reporting, content repurposing, data syncs, client onboarding) to identify immediate and long-term automation opportunities.
• Change Management: Champion a culture of automation and train department leads on the capabilities and proper use of the new AI-powered systems.

2. Technical Implementation & Orchestration (Make.com Focus)

• Make.com Mastery: Serve as the internal expert, designing, building, testing, and maintaining complex, multi-step scenarios on Make.com.
• AI Integration: Integrate best-in-class AI tools (e.g., generative AI models like OpenAI/Claude, specialized tools for transcription, image generation, data analysis) into our existing tech stack via Make.com.
• System Connectors: Ensure seamless, stable, and secure data flow between key systems (e.g., CRM, project management tools like Asana/ClickUp, accounting software, communication platforms like Slack/Email, and advertising platforms).
• Data Structure: Implement robust error handling, monitoring, and data integrity checks within all automated scenarios.

3. Performance & Governance

• KPI Tracking: Define and monitor key performance indicators (KPIs) for automation initiatives, such as time savings, error reduction, and cost efficiency.
• Documentation: Maintain clear, concise, and up-to-date documentation of all deployed scenarios, API connections, and process logic.
• Budget Management: Evaluate, select, and manage subscriptions for necessary AI tools and Make.com usage to ensure cost-effectiveness.

Qualifications

• Experience: 3+ years of experience in business process automation, digital transformation, or systems architecture, ideally within an agency or high-growth tech environment.
• Technical Expertise: Proven, hands-on expert-level proficiency with Make.com (formerly Integromat) is mandatory. Candidates must be able to demonstrate complex scenario development.
• AI Acumen: Strong working knowledge of current AI technologies (Generative AI, LLMs, Computer Vision) and experience integrating their APIs into workflows.
• API/Data Skills: Solid understanding of API protocols (REST, JSON) and data structures necessary for connecting disparate SaaS applications.
• Strategic Mindset: Ability to translate high-level business goals into precise, technical automation requirements.
• Communication: Exceptional verbal and written communication skills, with the ability to explain complex technical concepts to non-technical stakeholders.
