Our diagnostic model learns from carefully annotated video, so the quality and pace of that annotation directly determines how good the product becomes — and how quickly it reaches patients.

--The Role--

We are hiring an Annotation Operations Manager / Lead to run the people and the process behind our annotation effort. Annotations are performed by a network of contracted technologists that will grow as the project scales.

You are the person who keeps that network moving: getting contractors under contract and onboarded, answering their questions, following up relentlessly, checking status, reviewing that work meets our SOPs and labeling instructions, and keeping everyone on schedule. Most of this happens by phone, email, and messaging. You will run the project trackers and dashboards, and provider regular detailed reporting that tell leadership where throughput and quality stand at any moment.

This is a project management and coordination role at its core: highly organized, detail-oriented, and comfortable driving a high-volume, high-touch process. You will judge their performance relative to the SOPs. You do not need to judge clinical correctness — our internal experts own that. Your job is to keep the pipeline full, on-spec, and on-time, and to route work to expert review cleanly.

--Key Responsibilities--

Contractor management & onboarding

  • Get ultrasound-tech contractors under contract and onboarded — coordinating agreements, credential verification, and training completion.
  • Serve as the primary point of contact for the contractor network: answer questions, unblock issues, and maintain high responsiveness across phone, email, and messaging.
  • Scale the network as volume grows, keeping onboarding smooth as new contractors come on.

Scheduling & throughput

  • Keep every contractor on schedule and the project tracking to its frame/video targets and deadlines.
  • Monitor status across all active workstreams; chase down stalled or late work before it becomes a risk.
  • Balance and reassign workload as the contractor pool expands.

Quality assurance & SOP adherence

  • Review submitted annotations to confirm they follow the SOP and labeling instructions; flag and return work that doesn't.
  • Organize annotated datasets for internal expert review and relay structured feedback back to contractors.
  • Drive quality up over time through tight, iterative feedback cycles.

Tracking, dashboards & reporting

  • Build and maintain dashboards tracking productivity, accuracy, consistency, and turnaround time.
  • Segment contractors into performance tiers against clear KPIs; run improvement plans for those who need them and structured offboarding for those who don't meet standards.
  • Deliver regular, clear reporting to leadership on throughput, quality, and operational health.

Process development & scaling

  • Develop and refine scalable workflows, including QA protocols and version control for annotated data.
  • Maintain documentation of workflows, SOPs, and annotation guidelines.
  • Work with technical teams to sharpen label definitions and consistency, and surface opportunities for automation and efficiency.

Compliance & data handling

  • Ensure secure, compliant handling of sensitive medical data across a distributed contractor network, in line with applicable privacy and security requirements.

Required Qualifications

  • 3–7+ years in project management, operations, or data-centric workflows.
  • Experience managing distributed teams or contractor networks, with a track record of keeping people on schedule.
  • Exceptional organization and follow-through, and genuine comfort with high-volume, high-touch communication across phone, email, and messaging.
  • Hands-on skill building dashboards and tracking metrics (Smartsheet, Asana, Monday.com, Excel/Sheets, or similar).
  • Ability to run multiple concurrent workstreams against tight deadlines.
  • Strong communication skills, especially relaying structured, actionable feedback.

Preferred (Not Required) Qualifications

  • Experience supporting video, image, file/document, or data annotation.
  • Experience with AI/ML data pipelines.
  • Familiarity with healthcare, clinical, or medical-imaging data (ultrasound a plus).
  • Experience onboarding contractors, including contracts and credential verification.
  • Exposure to regulated environments, HIPAA, or structured compliance frameworks.
  • Experience designing QA processes and performance-metric systems.

  • Scalable, documented workflows and SOPs implemented.

Work Environment

Remote or hybrid, coordinating across U.S. time zones, with frequent interaction with executive leadership and technical teams.
