Job Description: AP/AR Clerk – Real Estate Development & Property Management
Position Summary
The AP/AR Clerk will support the daily accounting operations of a fast-growing, multi-entity real estate development and property management group. This position is primarily responsible for accounts payable processing across numerous properties and affiliated entities, while also assisting with basic accounting functions such as accounts receivable, bank reconciliations, journal entries, and general ledger support.
This role is ideal for a detail-oriented, dependable individual with some accounting experience who wants to grow within a dynamic and collaborative real estate organization.
Key Responsibilities
Accounts Payable (Primary Responsibility)
- Process vendor invoices for multiple properties and entities, ensuring accurate coding, approval routing, and timely payment.
- Prepare weekly check runs and assist with ACH/Wire setups as needed.
- Monitor due dates for utilities, insurance, taxes, debt service, and recurring vendor obligations to prevent late payments.
- Maintain organized electronic invoice files and support clean month-end close processes.
- Assist with vendor onboarding, W-9 collection, and upkeep of vendor records.
Accounts Receivable & Cash Receipts
- Record tenant/customer payments and other deposits in accounting systems.
- Assist with issuing intercompany invoices and simple billing tasks.
- Support basic collections tasks and follow up on outstanding AR items as needed.
Reconciliations & General Ledger Support
- Assist with monthly bank reconciliations for multiple operating and property accounts.
- Prepare simple journal entries (accruals, reclasses, recurring entries) with supporting documentation.
- Help track and reconcile credit card transactions and receipts.
- Support interim cash reconciliations and daily cash activity tracking.
Property-Level & Multi-Entity Support
- Maintain accurate records in document management systems, including invoices, receipts, bank statements, loan statements, and support schedules.
- Assist with preparing schedules and basic reports for property managers, the Controller, and CFO.
- Support multi-entity intercompany activity, including coding shared expenses and reconciling balances.
Reporting, Compliance & Administrative Support
- Assist in compiling month-end financial packages and other internal reports.
- Maintain organized electronic and physical files in accordance with company policies.
- Support annual audit and lender reporting requests with document retrieval and basic schedules.
- Provide general administrative support to the accounting team and help with special projects as assigned.
Qualifications & Skills
Required
- Some accounting experience (ideally 1–3 years) in AP, AR, bookkeeping, or general accounting support.
- Basic knowledge of AP processes, journal entries, and reconciliations.
- Proficiency with Microsoft Excel and general accounting software.
- Ability to work in a fast-paced, multi-entity environment with high attention to detail.
- Strong organizational skills and ability to prioritize multiple tasks.
- Clear communication skills and ability to collaborate with team members across departments.
Preferred
- Experience in real estate, construction, or property management accounting.
- Familiarity with Yardi Voyager, Yardi Breeze, or QuickBooks.
- Understanding of multi-entity structures, intercompany allocations, or property-level accounting.
Compensation & Work Environment
- Hourly Rate: $22–$28/hour (commensurate with experience).
- Full-time, in-office role with standard business hours.
- Reports to: Controller and works closely with the CFO and property management teams.
