Accounts Payable and Accounts Receivable Clerk

Pay Range: $24.00 to $26.00 per hour, depending on experience

Summary:

Jackson Properties is looking for an Accounts Payable and Accounts Receivable Clerk to support our accounting and administrative operations. This role is a good fit for someone who is organized, accurate, dependable, and comfortable working in a busy commercial real estate, property management, and facilities environment.

The AP/AR Clerk will help process vendor invoices, track customer and tenant payments, support billing, maintain accurate records, and communicate with vendors, tenants, property managers, facilities staff, and management. This position plays an important role in keeping accounting records clean, vendor payments on track, and billing and collections moving smoothly.

Responsibilities:

  • Process vendor invoices, review for accuracy, match supporting documents, and route invoices for approval.
  • Enter approved invoices into the accounting system and maintain organized accounts payable records.
  • Communicate with vendors regarding invoice status, missing paperwork, W9 forms, payment questions, and account updates.
  • Prepare payment packets, assist with check runs or ACH payments, and maintain supporting documentation.
  • Track recurring vendor invoices and follow up on missing bills, statements, or backup documentation.
  • Support billing and receivables by reviewing work orders, tenant records, account details, service documentation, and other supporting information.
  • Post and record customer and tenant payments accurately to the correct account, invoice, or balance.
  • Maintain customer and tenant account information, including billing contacts, mailing details, payment terms, account notes, and address updates.
  • Respond to questions regarding invoices, balances, statements, ledgers, payment history, and account records.
  • Review open balances, send payment reminders, and assist with collections follow up in a professional manner.
  • Work with property managers, facilities staff, vendors, tenants, and management to resolve missing information, billing questions, vendor issues, and account discrepancies.
  • Assist with AP aging, AR aging, reconciliations, account research, filing, reporting, and special projects as needed.
  • Maintain confidentiality of financial, vendor, tenant, customer, employee, and company information.

Qualifications:

  • One to three years of experience in accounts payable, accounts receivable, billing, bookkeeping, collections, or accounting support preferred.
  • Experience in commercial real estate, property management, facilities, construction, or a service based business is a plus.
  • Strong attention to detail and ability to enter information accurately.
  • Comfortable using accounting software, spreadsheets, email, online portals, and document storage systems.
  • Experience with AppFolio, QuickBooks, Sage, Procore, or similar systems is helpful.
  • Ability to stay organized, manage deadlines, follow up on open items, and ask questions when information is missing or unclear.
  • Professional communication skills with vendors, tenants, customers, team members, and management.
  • Basic math skills and understanding of invoices, payments, account balances, ledgers, and reconciliations.
  • Ability to handle sensitive financial information with care and confidentiality.
