AP/AR & Service Billing Specialist

Engineered Security Solutions (ESS) is a leading provider of commercial security technologies, including access control, video surveillance, intrusion systems, and managed services. We are growing rapidly and looking for a detail driven financial professional to support our operations and ensure accurate and timely billing for our service division.

We are seeking an experienced Accounts Payable/Accounts Receivable Specialist with strong service billing experience—ideally within a field service, construction, or technology services environment. This role is critical to ensuring smooth financial operations and accurate invoicing for labor, materials, maintenance agreements, and service tickets.

The ideal candidate is organized, proactive, and able to work independently in a fast pacedenvironment.

Key Responsibilities

Accounts Receivable

• Generate and send customer invoices for service work, maintenance agreements, and projects

• Process payments and reconcile customer accounts

• Monitor aging reports and follow up on past due accounts

• Ensure accuracy of labor/materials transferred from service tickets to invoices

Accounts Payable

• Review, code, and enter vendor invoices

• Reconcile vendor statements and resolve discrepancies

• Assist with entering credit card expense

Service Billing

• Work closely with technicians and service coordinators to ensure all labor, materials, and notes are recorded correctly

• Validate service tickets before billing

• Process recurring service contract invoices

• Ensure proper costing and margin accuracy

• Identify discrepancies or missing information and resolve them proactively

Qualifications

• 3+ years of AP/AR experience (required)

• Experience with service billing or field service workflows (strongly preferred)service workflows (strongly preferred)

• Strong understanding of invoice coding, revenue recognition, and cost allocation

• Proficient with accounting or service management software

• High attention to detail—accuracy is essential

• Excellent communication and organizational skills

Nice to Have

• Experience in the security industry, construction trades, or technology services

• Familiarity with job costing, work orders, or service ticket systems

• Intermediate Excel skills
