   Responsibilities

  • Coordinate and schedule appointments between clients, vendors, and internal teams in a timely and efficient manner.
  • Manage and maintain the appointment calendar, ensuring no conflicts or overlaps occur.
  • Communicate professionally with clients and stakeholders to confirm and reschedule appointments as necessary.
  • Maintain accurate records of all scheduled appointments and related correspondence.
  • Collaborate with various departments to understand their scheduling needs and prioritize appointments accordingly.
  • Utilize scheduling software and tools to streamline appointment management processes.
  • Provide regular reports on appointment statuses and any scheduling issues to management.
  • Handle urgent scheduling requests and resolve conflicts promptly while maintaining professionalism.

 

 

   Requirements

  • Proven experience as an Appointment Scheduler or in a similar administrative role, preferably within the Oil & Energy industry.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Outstanding communication and interpersonal abilities to effectively liaise with diverse stakeholders.
  • Proficiency in using scheduling software, Microsoft Office Suite, and related tools.
  • Ability to work under pressure and manage conflicting priorities effectively.
  • Strong problem-solving skills and a proactive approach to managing scheduling challenges.
  • High level of professionalism, discretion, and confidentiality in handling sensitive information.
  • Flexibility to adapt to changing schedules and work requirements as necessary.
