Appointment Scheduler/Receptionist

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to our executive team. Duties

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with attention to detail.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Handle incoming calls with professionalism using multi-line phone systems and phone etiquette, directing inquiries appropriately.
  • Provide executive administrative support through data entry, filing, proofreading, transcription, and document management using Microsoft Office and other office software.
  • Organize meetings by preparing agendas, taking minutes, and ensuring all necessary materials are ready in advance.
  • Assist with bookkeeping tasks utilizing QuickBooks for expense tracking and basic financial record keeping.
  • Support project coordination efforts by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
  • Perform general office management duties including front desk responsibilities, filing systems maintenance, office supply inventory management, and handling customer service inquiries.

Qualifications

  • Proven experience as a Personal Assistant or in an administrative support role with demonstrated office management skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools like DocuSign.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Exceptional communication skills—both verbal and written—with professional phone etiquette.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Ability to handle multiple projects simultaneously while maintaining attention to detail.
  • Familiarity with transcription, proofreading, filing systems, and clerical procedures is highly desirable.
