Duties
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with attention to detail.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Handle incoming calls with professionalism using multi-line phone systems and phone etiquette, directing inquiries appropriately.
- Provide executive administrative support through data entry, filing, proofreading, transcription, and document management using Microsoft Office and other office software.
- Organize meetings by preparing agendas, taking minutes, and ensuring all necessary materials are ready in advance.
- Assist with bookkeeping tasks utilizing QuickBooks for expense tracking and basic financial record keeping.
- Support project coordination efforts by tracking deadlines, following up on action items, and ensuring timely completion of tasks.
- Perform general office management duties including front desk responsibilities, filing systems maintenance, office supply inventory management, and handling customer service inquiries.
Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with demonstrated office management skills.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools like DocuSign.
- Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Exceptional communication skills—both verbal and written—with professional phone etiquette.
- Experience with bookkeeping software such as QuickBooks is preferred.
- Ability to handle multiple projects simultaneously while maintaining attention to detail.
- Familiarity with transcription, proofreading, filing systems, and clerical procedures is highly desirable.
