Architectural and Administrative Assistant (U.S. Based Projects)

Job Overview

We are seeking a highly efficient and detail-oriented Architectural & Administrative Assistant to support our New York-based architectural team. The ideal candidate will handle day-to-day architectural tasks, drafting, and coordination work while also managing administrative responsibilities with minimal supervision.

This role requires strong technical expertise in 2D/3D drafting, excellent English communication skills, and the ability to work independently in a fast-paced environment.

Key ResponsibilitiesArchitectural & Technical Duties

  • Prepare, modify, and review 2D and 3D architectural drawings using AutoCAD and related software
  • Develop construction drawings, shop drawings, and as-built drawings
  • Assist in preparing permit sets and construction documentation
  • Coordinate with the New York architect on daily assigned tasks and revisions
  • Interpret sketches, redlines, and markups into finalized drawings
  • Ensure drawings comply with U.S. building codes and standards
  • Support basic design development and space planning tasks

Administrative & Coordination Duties

  • Maintain and organize project files, drawings, and documentation
  • Track project progress, deadlines, and deliverables
  • Communicate with internal team members and external consultants
  • Assist in preparing reports, emails, and project updates
  • Manage data entry, documentation logs, and follow-ups
  • Perform general administrative tasks as required

Required Skills & Competencies

  • Strong proficiency in AutoCAD (2D & 3D), CAM-based drawings / detailing
  • Microsoft Office (Excel, Word)
  • Excellent English communication skills (written & verbal)
  • Ability to work independently with minimal supervision
  • Strong attention to detail and problem-solving skills
  • Ability to manage multiple tasks and meet deadlines
  • Reliable internet connection and ability to work in U.S. time zones (EST preferred)

Minimum Qualifications (Preferred but Not Mandatory)

Bachelor’s degree in:

  • Architecture
  • Architectural Engineering
  • Civil Engineering
  • Or related field
  • 2–5+ years of experience in Architectural design, Construction drawings, Structural detailing (residential/commercial)

Preferred Qualifications (Not Obligatory)

  • Familiarity with U.S. Building Codes, including:
  • International Building Code (IBC)
  • Americans with Disabilities Act (ADA)
  • Local zoning and construction regulations
  • Experience working on U.S.-based projects or with U.S. clients
  • Knowledge of LEED / sustainable design principles
  • Experience with:
  • Construction documents
  • Shop drawings
  • Submittal review process
  • FE / PE certification (U.S. or international equivalent) is a plus

Work Requirements

  • Ability to overlap with New York working hours (EST)
  • Strong responsiveness and daily reporting capability
  • High level of professionalism and accountability
