About the Role
We are a growing HVAC-R parts trading and distribution company based in Al Ain, UAE. We are looking for a detail-oriented and proactive Accounts Receivable & Administration Officer to join our finance team. This role is central to the smooth running of our day-to-day financial operations and office administration.
Key Responsibilities
Accounts Receivable
- Prepare, issue, and track customer invoices in the ERP system (ERPNext)
- Monitor outstanding balances and follow up on overdue accounts by phone and email
- Maintain and review the AR Aging Report on a regular basis
- Handle customer invoice disputes,investigate, coordinate internally, and resolve promptly
- Record incoming payments accurately and reconcile against open invoices
- Issue credit notes when required and ensure proper documentation
- Escalate high-risk overdue accounts to management with a clear status update
Supplier & Customer SOA Reconciliation
- Reconcile supplier and customer Statements of Account against internal records on a monthly basis
- Identify and investigate discrepancies, including timing differences, missing invoices, or duplicate entries
- Communicate with suppliers and customers to resolve outstanding differences
HR & Administration
- Maintain employee attendance, leave records, and track leave balances
- Coordinate with the typing centre for visa, Emirates ID, and labour card renewals
- Assist with new employee onboarding paperwork and HR filing
- Manage petty cash and produce accurate petty cash reports
- Draft and format professional correspondence in English
Requirements
Education & Experience
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field
- Minimum 1–4 years of experience in accounts receivable, finance administration, or a similar role
- Prior experience in a trading, distribution, or supply chain environment is an advantage
- Experience working in the UAE is preferred
Technical Skills
- Proficient in Microsoft Excel (VLOOKUP, pivot tables, filters, and basic formulas at minimum)
- Experience with an ERP system (ERPNext, SAP, Tally, Zoho, QuickBooks, or similar)
- Understanding of UAE VAT regulations and basic Tax Invoice requirements
- Sound knowledge of double entry bookkeeping and journal entry preparation
Soft Skills & Personal Qualities
- High attention to detail, accuracy in data entry and financial records is non-negotiable
- Strong written and verbal communication skills in English
- Organised, self-motivated, and able to manage multiple tasks and deadlines
- Professional and discreet when handling confidential financial and HR information
- Team player who can also work independently with minimal supervision
