Assistant Association Manager

We are seeking a motivated, organized, and customer-focused Assistant Community Manager to support the daily operations of homeowners associations and community management activities. This position works closely with Community Managers, Board Members, homeowners, and vendors to help ensure communities are professionally managed and maintained.

The ideal candidate is detail-oriented, responsive, and able to manage multiple priorities in a fast-paced environment while maintaining a high level of professionalism and customer service.

Key Responsibilities

  • Assist Community Managers with the day-to-day management of HOA communities
  • Respond to homeowner inquiries via phone, email, and in person
  • Coordinate and track maintenance requests, vendor services, and community projects
  • Prepare meeting agendas, board packets, correspondence, and meeting minutes
  • Conduct community inspections and document covenant or maintenance concerns
  • Assist with architectural review requests and compliance tracking
  • Coordinate vendor bids, scheduling, and follow-up communications
  • Support annual meetings, board meetings, and community events
  • Maintain homeowner records, files, and management software systems
  • Assist with budgeting, invoice processing, and account follow-up as needed
  • Ensure compliance with governing documents and association policies

Qualifications

  • Prior HOA, property management, administrative, or customer service experience preferred
  • Strong written and verbal communication skills
  • Excellent organization and time management abilities
  • Ability to handle multiple tasks and prioritize effectively
  • Professional demeanor and conflict-resolution skills
  • Proficiency in Microsoft Office Suite and general computer systems
  • Valid driver’s license and reliable transportation preferred

Preferred Skills

  • Experience working with HOA management software
  • Knowledge of CC&Rs, bylaws, and HOA operations
  • Meeting coordination and minute-taking experience
  • Vendor management and project coordination experience

Schedule

Full-time position with occasional evening board meetings as needed.

Pay: $20.00 - $22.00 per hour
