Assistant Buyer

We are looking for a commercially minded and creatively driven Assistant Buyer to join our growing Buying Team. This is a pivotal role that sits at the intersection of data, product, and brand, supporting the end-to-end buying cycle while bringing genuine commercial instinct and curiosity to every decision. As FashionPass continues to scale, this role offers significant opportunity for growth and ownership within the buying function.


What You’ll Do:


Buying Support

  • Assist in open-to-buy (OTB) tracking and budget management, helping to reconcile investments against plan
  • Support the Buyer during vendor negotiations by preparing relevant data, documentation, and follow-up communications
  • Attend market appointments alongside the Buyer, providing administrative and organizational support throughout

Operations & Process

  • Oversee day-to-day data entry for the Buying Team including purchase orders, reports, budget tracking, and buying logs
  • Manage all aspects of the sampling process: requesting samples, coordinating for Buying, Merchandising, and Operations needs (wash testing, fit model reviews, try-ons, and ecom shoots)
  • Review all purchase orders and confirmations post submission and at the time of shipment approval
  • Track and log all products from approval through to live publication on site, ensuring accuracy of copy and product information
  • Coordinate delivery timelines and manage new receipt flow, identifying and resolving discrepancies in the warehouse
  • Confirm all items have passed through the full receiving flow (receipt, test wash, alterations, fit) and communicate clearly with Buying and Operations teams
  • Vendor Management
  • Maintain and grow external vendor relationships, managing communications proactively and professionally
  • Collaborate cross-functionally with Finance, New Inventory, and other internal departments
  • Manage Fit Model scheduling, reviews, and try-on coordination
  • Facilitate test washing requests and manage execution

Site & Content

  • Own site merchandise tagging. Log assigned categories use cases and trends, publishing products, ensuring all inventory is live with accurate copy, imagery, and fit reviews
  • Manage accessories for shoot pulls, request VPI images, and coordinate re-shoot requests
  • Perform internal quality checks and maintain organized product files, sample notes, and photos for current and future investment reference

Ad Hoc Projects

  • Prepare and assist on additional buying projects as needed, this includes RAs, selling reports, fabric and sketch reviews


What You'll Bring

  • 1–3 years of experience in a buying, merchandising, or related retail/fashion role; rental or subscription experience a strong plus
  • Comfortable working with data and selling reports to surface clear, actionable information for the Buyer
  • Experience with or exposure to the end-to-end buying cycle, including vendor communication and order management
  • Familiarity with open-to-buy (OTB) tracking and budget reconciliation
  • Strong proficiency in Excel/Google Sheets; experience with buying or ERP systems preferred
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines simultaneously while bringing a proactive, solutions-oriented approach
  • Commercially minded with a genuine passion for fashion, the FashionPass brand, and the subscription rental model
  • Proactive, solutions-oriented, and comfortable taking initiative
  • Collaborative team player who fosters a supportive, empathetic working environment consistent with FashionPass's values
  • Strong written and verbal communication skills for vendor, cross-functional, and internal departments
