Overview
The City Clerk plays a vital role in the administration of municipal operations, ensuring that all city records are accurately maintained and accessible. This position requires strong organizational skills, attention to detail, and the ability to provide excellent customer support. The City Clerk will serve as a liaison between the public and city officials, managing various clerical and administrative tasks that contribute to the efficient functioning of the city government.
Duties
- Maintain and organize official city documents, including meeting minutes, ordinances, resolutions, and contracts.
- Provide clerical support by filing documents, proofreading materials for accuracy, and ensuring compliance with legal requirements.
- Assist residents and visitors by answering inquiries in person, over the phone, or via email while demonstrating excellent phone etiquette.
- Manage office operations including scheduling meetings, maintaining calendars, and coordinating logistics for public events.
- Support city officials by preparing agendas for meetings and distributing relevant materials.
- Utilize computer literacy to manage databases and electronic filing systems effectively.
- Ensure confidentiality of sensitive information while providing customer support to residents regarding city services.
Requirements
- Proven experience in an administrative or clerical role; experience as a medical receptionist is a plus.
- Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficient in computer applications including word processing, spreadsheets, and database management.
- Excellent proofreading skills to ensure accuracy in all written communications.
- Strong customer service skills with a focus on providing support to diverse populations.
- Ability to work independently as well as collaboratively within a team setting.
- Familiarity with office management practices and procedures is preferred.
