Job Overview
We are seeking a proactive and detail-oriented Assistant for our Construction Services team. This role is responsible for coordinating technician schedules, maintaining accurate records, managing reports and invoices, and providing day-to-day administrative support. The ideal candidate is a strong communicator who can manage multiple priorities, work effectively with field staff and clients, and ensure operational efficiency across scheduling, reporting, and fleet coordination activities.
Responsibilities
- Schedule and dispatch technicians; manage daily and next-day work schedules.
- Communicate with technicians, clients, and contractors to provide updates and resolve scheduling conflicts.
- Maintain accurate dispatch records, including service requests and job status updates.
- Answer, screen, and direct phone calls, emails, and other correspondence.
- Assist in the preparation, tracking, and approval of regularly scheduled reports.
- Send or upload completed reports to clients as required.
- Create, maintain, organize, and purge project files in accordance with company procedures.
- Track, review, and approve invoices after verifying work completion.
- Perform general administrative tasks to support the Construction Services team.
Experience
- Previous experience in dispatch, administrative support, or construction services coordination preferred.
- Strong organizational and time-management skills with the ability to multitask in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, OneDrive).
- High attention to detail and ability to maintain accurate records.
- Ability to work independently and collaboratively as part of a team.
Pay: $23.00 - $28.00 per hour
