Front Desk & Operations Coordinator

Location: Jacksonville, FL
Schedule: Monday–Friday, 12:00 PM – 8:00 PM
Compensation: $42,000/year + performance bonuses

About B3 Better Sports Performance

B3 Better Sports Performance is a high-energy, athlete-focused training facility known for professionalism, innovation, and results. We work with driven athletes and families and expect the same level of excellence from our operations and client experience.

We are hiring one highly capable professional to own both back-office administration and front-of-house client experience.

The Role

This is a dual-function position:

  • 12:00–4:00 PM: Administrative, operational, and project support
  • 4:00–8:00 PM: Face of the facility during peak client hours

This role is ideal for someone who is organized, confident, proactive, and thrives in a fast-paced environment.

Key Responsibilities

Front Desk & Client Experience

  • Greet athletes, families, and visitors professionally
  • Manage member check-ins and account questions
  • Explain programs, memberships, promotions, and schedules
  • Answer and route phone calls, texts, and emails
  • Maintain a clean, organized, and welcoming front desk
  • Ensure lobby screens and facility messaging are current

Administrative & Operations

  • Maintain member records, payments, and CRM data
  • Schedule sessions and manage no-show follow-ups
  • Support payroll review, staff scheduling, and time tracking
  • Manage POS inventory (merchandise, drinks, supplements)
  • Track invoices, supplies, and basic accounts payable
  • Communicate daily updates to coaching and management staff

Events, Marketing & Projects

  • Assist with monthly events (planning, registration, execution)
  • Support event promotions and on-site registration
  • Capture photos and videos during training and events
  • Create simple flyers or posts using Canva
  • Help manage sponsor visibility and promotions

Team Support

  • Ensure front desk coverage during operating hours
  • Support onboarding and scheduling of front desk staff as needed
  • Assist leadership with project coordination and follow-through
  • Handle customer service issues professionally

Qualifications

  • Strong organizational and communication skills
  • Ability to multitask and stay calm under pressure
  • Comfort with client-facing sales conversations
  • Proficiency in Microsoft Word and Excel
  • Willingness to learn CRM and scheduling platforms
  • Experience in customer service, admin, fitness, or sports environments preferred
  • High school diploma or equivalent

Bonus Experience

  • CRM or scheduling software
  • Event coordination or sponsor support
  • Canva or basic content creation
  • Fitness, sports, or youth program experience

Why This Role

This is not a basic front desk position. You will play a key role in daily operations, client experience, and facility execution. We are looking for someone who takes ownership and pride in their work.
