Job Purpose:

The Assistant Manager Administration will oversee and support daily administrative operations, ensure effective communication with government entities, construction and supervision companies, engineering consultants, and external stakeholders. The role also includes preparing official documents, reports, and correspondence, and ensuring compliance with company policies and UAE regulations.

Key Responsibilities:

  • Coordinate and communicate with government authorities (e.g. MOHRE, Municipality, Economic Department, Immigration, RTA) for company documentation, permits, NOCs, licenses, and other administrative matters.
  • Maintain professional communication with construction companies, supervision consultants, engineering consultant firms, and project stakeholders.
  • Prepare and manage official letters, reports, agreements, quotations, and administrative documents using MS Office and other business tools.
  • Maintain organized company records, contracts, documents, and filing systems (soft and hard copies).
  • Assist in project coordination, follow up on pending approvals and correspondence.
  • Support HR and PRO activities when required.
  • Coordinate logistics, office supplies, and facility management as needed.
  • Prepare meeting minutes, follow up action items, and communicate updates.
  • Handle internal and external communication professionally.
  • Ensure that company policies and procedures are followed across administration activities.
  • Perform additional duties as assigned by senior management.

Qualifications & Skills:

  • Bachelor s Degree in Business Administration, Management, or related field.
  • Minimum 3 years of administrative experience in commercial/construction/engineering industry preferred.
  • Strong experience dealing with government entities & documentation in the UAE.
  • Excellent communication skills in English (Arabic is a plus).
  • Proficient in MS Word, Excel, PowerPoint, Outlook and document formatting.
  • Strong organizational and time management skills.
  • Ability to multitask and work under pressure.
  • UAE Driving License is mandatory.
  • Professional, proactive, and detail-oriented personality.
