Assistant Manager Administrative

The Assistant Manager Administration is responsible for ensuring effective execution of approved administrative policies, timely reporting, vendor coordination, procurement management, office infrastructure oversight, security compliance, and protocol management. The role ensures operational continuity, adherence to defined timelines and SLAs, effective coordination with internal stakeholders, and a safe, compliant, and well-managed work environment across offices and facilities.


Position: Assistant Manager Administrative

Shift Timing: 02:00pm-11:00pm

Location: Faisalabad, Punjab, Pakistan


Job Description:

  • Implement approved administrative policies across departments within defined timelines.
  • Monitor compliance with administrative procedures and internal controls.
  • Ensure alignment of administrative practices with organizational standards and requirements.
  • Prepare and submit comprehensive monthly administrative reports to senior management.
  • Ensure reports include key metrics, updates, risks, and flagged issues.
  • Maintain accurate records and documentation for audits and leadership reviews.
  • Track administrative performance indicators and improvement actions.
  • Ensure 100% on-time submission of all required reports.
  • Maintain an updated vendor directory and conduct periodic vendor reviews.
  • Coordinate meetings and communications with vendors and document outcomes.
  • Ensure timely resolution of maintenance, security, or infrastructure issues.
  • Oversee warehouse and premises security audits and protocol compliance.
  • Ensure functionality of backup electrical systems and generators.
  • Maintain daily logs for backup systems and utilities.
  • Coordinate immediate resolution of identified issues to avoid disruptions.
  • Monitor preventive maintenance schedules for critical infrastructure.
  • Ensure zero unplanned downtime due to infrastructure failures.
  • Manage protocol arrangements for the CEO, senior leadership, family members, and guests.
  • Coordinate logistics, schedules, and support requirements with confidentiality.
  • Ensure all protocol arrangements are finalized at least 24 hours in advance.
  • Maintain high service standards for executive and guest handling.
  • Address protocol-related issues promptly and professionally


Job Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 4–6 years of progressive experience in administration, facilities management, procurement, vendor coordination, or security oversight
  • Strong understanding of administrative policy implementation and compliance.
  • Knowledge of procurement processes, vendor coordination, and contract management.
  • Familiarity with office security protocols, warehouse security, and access controls.
  • Understanding of fire safety systems, emergency response, and backup power systems.
  • Knowledge of administrative reporting, audits, and documentation standards.
  • Awareness of protocol handling for senior leadership and executive offices.
  • Basic understanding of HR administrative coordination processes
  • Proficiency in MS Office (Excel, Word, PowerPoint) and reporting tools
