The company’s showroom doubles as a retail space and a collaborative operations hub for creative and business teams.

We are seeking a proactive, highly organized Assistant Manager / Executive Operations Support professional to work directly with our COO. This is a multifaceted role for someone who enjoys managing operations, coordinating projects, and engaging in marketing and partnership initiatives.

What You’ll Do

  • Provide high-level administrative and operational support to the COO.
  • Manage day-to-day company operations, ensuring workflow efficiency and on-time project delivery.
  • Coordinate internal projects and assist with team communication, accountability, and task tracking.
  • Participate in marketing activities—help with content creation, campaign coordination, and media outreach.
  • Assist in managing partnerships, affiliates, and vendor relations, maintaining clear follow-up and communication.
  • Prepare reports, organize internal records, and support operational documentation.
  • Occasionally assist in the showroom—greeting clients, providing product information, and supporting sales efforts.
  • Use AI tools and software (e.g., ChatGPT, CRMs, project trackers) to improve productivity and communication.
  • Anticipate the COO’s needs and act as a key connector between departments.

A self-starter with a balanced mix of operational discipline, creative thinking, and communication finesse. You thrive in a fast-paced environment, enjoy multitasking, and take pride in being the organizational backbone that keeps teams running smoothly.

Required Experience

  • Bachelor’s degree or equivalent experience in Business, Marketing, Operations, or related field.
  • Minimum 3 years in administrative, managerial, or operational support roles.
  • Strong written and verbal communication skills in English (Russian preferred).
  • High proficiency with Microsoft Office, Google Workspace, CRMs, and AI tools.
  • Excellent organizational, multitasking, and time-management abilities.
  • Experience managing small teams or coordinating complex projects.
  • Reliable, professional, and discreet when handling confidential information.
  • Willingness to occasionally extend hours when deadlines require.

  • Experience in the wellness, health tech, or e-commerce industry.
  • Familiarity with influencer or affiliate marketing.
  • Graphic design or social media content creation skills.
  • Interest in holistic health and wellness products.

Location: Midtown West, Manhattan, NY
Schedule: Monday–Friday, 10:00 AM – 7:00 PM
Salary: $65,000 annually
