Assistant Manager, Production Operations

Summary


The Assistant Manager supports the Production Manager in overseeing the day-to-day operations of the production, warehouse and floral teams. This role ensures high-quality service delivery to clients, assists with event logistics, supervises production crew activities, and helps maintain smooth coordination across departments. The Assistant Manager also contributes to maintaining efficiency, inventory, quality, and safety standards while promoting creativity and excellence in all aspects of event production.

Essential Functions


Job duties include, although are not limited to:

  • Develop tracking system for missing, broken or damaged items.
  • Oversees maintenance and inventory of décor and some floral product materials.
  • Assist with weekly scheduling for efficient event execution.
  • Assist in client meetings and walkthroughs as needed, ensuring a clear understanding of event goals and requirements.
  • Coordinate with internal departments (e.g., Catering, AV, Banquets, Set Up) and follow up on event timelines and logistics.
  • Collaborate with the Purchasing Agent and vendors to track necessary items for upcoming proposals and events.
  • Help supervise hourly and contract labor.
  • Monitor and manage overtime usage and support optimal staffing allocation.
  • Assist with coordinating deliveries, installations, and breakdowns across various venues.
  • Help oversee the upkeep and scheduling of transportation vehicles, maintaining usage logs and reporting issues.
  • Actively participate in the installation of events to ensure quality and adherence to design specifications.
  • Confirm the arrival and setup of all rented décor and third-party talent/vendors before event start time.
  • Support the production and floral teams to ensure all materials and designs are prepared in advance.
  • Foster a creative and collaborative work environment that encourages innovation and efficiency.
  • Promote and ensure compliance with all safety procedures and appropriate work standards.
  • Assist in managing warehouse operations and the coordination of production and floral inventory.
  • Collaborate with sales and design teams to align production execution with client expectations.
  • Provide assistance with linen, rental coordination, and other logistical elements as assigned.
  • Perform other duties as assigned by the Production Manager or upper management.
  • Organizes monthly and annual inventories in conjunction with Floral Manager
  • Assists with managing the daily logs of usage for transportation vehicles.
  • Keep work area organized,
  • Maintain filing and tracking system for all incoming and outgoing paper flow.
  • Maintain a safe working environment. Report and correct, if possible, any unsafe acts or conditions.
  • Perform other related duties as assigned or requested by supervisors/managers.
  • Vehicle Inspections and safety regulations kept up to date.


Internal Relationships

Works closely with Boca by Design managers and associates, Resort managers, guest, clients.


External Relationships

Has regular contact with vendors, clients, members and guests.


Qualifications

  • Understand/Speak/Read/Write English fluently
  • Must have reliable transportation and a flexible schedule.
  • Two Years Event Supervisory Experience
  • Comfort level of driving a BBD truck. Valid driver’s license.
  • Have experience with supervising associates


Education/Experience Requirements

  • Minimum 2 years experience in clerical. Typing at 65WPM, letter composition, word and excel experience with MS Word, Excel and up to date computer skills. Understand/Speak/Read/Write English fluently. Excellent communication and presentation skills. Occasionally lift/carry up to 50 lbs. Must be able to sit, stand, stoop or bend for duration of shift(at least eight hours).
  • 2 years supervisor experience in related field


Physical Requirements

  • Able to lift/carry 50 lbs
  • Must be able to sit, stand, stoop or bend for duration of shift (at least 8 hours)
  • Comfort with ladder usage and heights.
